Personnel Records Clerk performs clerical and administrative tasks to support HR operations and projects. Completes routine data entry, report generation, and audit activities to ensure the accuracy of employee data in HRIS systems. Being an Personnel Records Clerk assists with delivering core HR processes like onboarding, hiring, terminations, retirements, timekeeping, and program implementations, including benefits, compensation, and performance management. May administer other HR systems used for timekeeping, performance, and training management processes. Additionally, Personnel Records Clerk requires a high school diploma or equivalent. Typically reports to a supervisor. The Personnel Records Clerk works under the close direction of senior personnel in the functional area. Record retention and scanning experience. Proficient with Microsoft Office Suite software and familiar with PaperVision software.
Know and follow agency policies and procedures applicable to records retention, retrieval, and destruction.
Accept from various agency departments all paper records for storage, categorizing them according to agency policy, and filing them in storage boxes properly labeled and secured. Assist with labeling boxes, per established standards, as necessary.
When properly requested, retrieve agency records and/or documents. Create and maintain a record of all records/documents requested and ensure that said records are ultimately returned and refiled.
Annually, review records, electronic or otherwise, used within the agency departments, in order to ensure compliance with the agency’s records retention and disposal program.
Assist the Business Office in the processing of accounts payable vouchers, including data entry, collating, and filing.
Provide back-up coverage for the agency courier.
Provide back-up coverage for the food service program at Murray Ridge School.
Assist the Transportation Coordinator in the movement of agency vehicles, when necessary.
25 hours per week. Flexible as needed.
