Job Summary
We are seeking an Office Manager to join our team. In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include scheduling Pharmaceutical Rep/lunch meetings, paying invoices, and maintaining office equipment. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures.
Responsibilities
- Maintain calendar of appointments and meetings
- Schedule appointments
- Provide back-up if needed with answering incoming calls
- Maintain the office layout with efficiency and organization in mind
- Collaborate with ADP to create, update, and maintain office procedures
- Maintain office equipment in good working order
- Pay and record invoices
- Accurately maintain general office budget
- Submit referral requests to PCP office for patients with HMO plans.
- Maintain incoming faxes thru fax log.
- Order office supplies
- High school diploma/GED required, some college preferred
- Bilingual-(English/Spanish) required
- Previous experience as an Office Manager or similar position preferred
- Understanding of office equipment, systems, and procedures
- Skilled in Microsoft Office, Excel, and Outlook
- Excellent time management skills and ability to prioritize multiple tasks
- Strong problem-solving skills and attention to detail
- Excellent verbal and written communication skills
