Physician Residency Coordinator oversees the administration and scheduling of the physician residency program of a healthcare organization. Coordinates and facilitates the activities of the physician residents and provides the resources necessary to fulfill curriculum requirements. Being a Physician Residency Coordinator ensures physician activities comply with governing bodies such as the Accreditation Council for Graduate Medical Education (ACGME) or other applicable regulations. Supports the recruitment and selection process of resident physicians. Additionally, Physician Residency Coordinator administers and maintains a system or database to manage schedules and physician performance metrics. May require a bachelor's degree. Typically reports to a supervisor or manager. The Physician Residency Coordinator occasionally directed in several aspects of the work. Residency Program Coordinator

  • Assists the program director with the residency program.

    • Supports the accreditation processes and verification of resident procedures Including, but not limited to coordinating and actively participating in site visits.
    • Use knowledge of ERAS software to manage residency applications and compile reports as necessary. Review all residency applications and screen those appropriate for interview. Evaluate residency applications for completeness. Notify applicants of decisions for interview. Administration and coordination of all house staff interviews, communication with applicants as necessary.
    • Maintain web-based ACGME WebAds which includes accreditation surveys for Residency Program, collecting and collating appropriate information from various sources throughout the campus. Compile and submit reports to ACGME, ABIM, AMA, NRMP (enter rank list) and other organizations as required
    • Documentation and credentialing for all graduate medical education training (including procedure credentialing and Conscious Sedation) conducted within the department, including initiation and writing credentialing documents as required by house staff and completion of credentialing forms for signature by appropriate medical staff; maintenance of all house staff personnel records, including confidential evaluation and counseling records.
    • Maintains the residency computerized evaluation system, including all data submission, continual surveillance of outstanding evaluations, and reports of annual surveys.
    • Provides administrative support to the Program Directors, including scheduling of meetings, preparation of agendas, recording and maintaining meeting minutes.
    • Insures provider access to the Electronic Health record and other hospital IT programs via IT Security.
    • Compiles the didactic curriculum for residency program; assists in the preparation and distribution the monthly lecture schedule
    • Assigns resident attendance at various hospital committees.
    • GME Track Survey
    • Coordinates monthly examinations and utilizes the scanning system to score and record results.
    • Maintain a thorough understanding of ACGME requirements for residency programs, applying this knowledge to support compliance and program accreditation. Familiarize with and adhere to departmental policies, procedures, and goals, ensuring the residency program aligns with these standards.

    Scheduling

    • Provides administrative support to the Program Directors, including scheduling of the annual ACGME meetings, preparation of agendas, recording and maintaining meeting minutes.
    • Coordinates all aspects of the Clinical Competency Committee including scheduling, preparing of resident files, insuring written feedback from Mentors.
    • Conference Room Schedule for exams
    • Coordinates annual In-training examinations.
    • Enters Departments schedule in Spok as necessary

    General Department Needs and Compliance

    • Possess a thorough understanding of the institution's organizational chart to direct residents and faculty to the appropriate escalation points for various issues and concerns.
    • Orders supplies for the Department via the Hospital’s Ordering System.
    • Demonstrates problem solving, decision-making skills, organizational skills, attention to detail, and ability to maintain confidentiality.
    • Serves as the primary Kronos Timekeeper for the department and the vacation schedule
    • Maintains the Department Web Page and performs word processing as needed.
    • Routes phone calls as appropriate.
    • Submits financial reimbursements for Residents and Advanced Practice Practitioners
    • Assists other office staff members with other duties when necessary.

    REQUIREMENTS

    • High school graduate or equivalent; College degree preferred;
    • Must demonstrate initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger institution in organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely work flow.
    • Comprehensive and detailed understanding of national accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment.
    • Demonstrated effective oral and written communication skills. Must be computer literate with proficiency and working knowledge Microsoft Word, Excel, and PowerPoint.
    • Experience with GME and ACGME requirements and policies preferred. Experience with the administration of educational programs preferred.

    SALARY: $65K - $70K DOE Plus full Benefits
