Position Summary

Responsible for the scheduling of patients for perioperative services including Operating Room (OR), Procedure Room (PR), Rapid Response Clinic, and occasionally Interventional Radiology (IR). May include creation of requests for authorization of services as applicable. Follows up on cancellations or requests for changes to appointment or schedule. Will be responsible for check-in/check-out of outpatients. Prepares necessary paperwork for patient appointments. Works with physicians, physicians offices, and other departments as needed.

Key Responsibilities include:

• Schedules patient appointments as directed by the physician(s) offices, department and other requests.
• Creates pre-registration record and links pre-registration record to scheduled appointments. Assures that the correct pre-registration account number is linked to the scheduled appointment.
• Creates a request for authorization of service if applicable. Assures that all pertinent information is included in the authorization request so that the patient financial staff can complete the authorization request as needed.
• Receives and manages phone calls from patients and departments regarding patient appointments.
• Schedules appointments as needed via telephone or computer. .
• Reviews and updates future appointments, surgeries, or procedures as directed.
• May contact patients under direction of perioperative leadership.
• Checks in patients when they arrive for scheduled appointment and alerts clinical staff of patient arrival. Provides patients with wrist bands for identification as applicable.
• Assures use of patient identification when performing tasks such as scheduling appointments or placing arm bands in order to assure accuracy.
• Refers patients to financial counselors to resolve insurance or payment issues.
• Develops and maintains necessary records and files for efficient operation.
• Manages forms inventory to assure forms are stocked and available as needed.
• Maintains thorough knowledge of various sections within the department in order to provide assistance and back-up coverage when necessary.
• Any other secretarial duties as directed by leadership including participating in charges, charge capture or reports.

Basic education, experience and skills required for consideration:

• High School graduate or equivalent.
• Two years related experience in a health care setting, acute or ambulatory.

Preferred education experience and skills:

• Some college classes.
• Two years of experience with patient scheduling in an acute care setting or ambulatory setting.
