Administrative Specialist

You will serve as Administrative Specialist for assigned plan group of clients, handling all cross-department communications, workflow and review all paperwork as needed.

Primary Duties

• Complete administrative tasks for assigned clients
  • Meeting daily deadlines through accurate and efficient data entry
  • Scanning, creating/generating/updating, mailing, saving documents in electronic filing system and/or uploading documents to our website
  • Executing updates to the website content.
• Key areas of focus:
  • Create projects in Pension Pro for various projects
  • Quarterly participant account statements
  • Advisor logos and contact information
  • Quarterly Performance data/FMMR/Model Returns
  • Fiduciary Audit File Binders
  • Lost participant searches
  • Service and Custodial Agreements
  • Closing of the House documents
  • Annual Fee Disclosures
  • Account reports, notice, forms, and other documents
  • RK Only client setup in Engagement
  • Bi-monthly reconciliation of Relius plan balances to website balances
  • Daily monitoring of fund update emails in recordkeeper inbox
  • Monitor work tray and tasks in PensionPro continuously and complete all tasks
  • Daily collection and distribution of incoming/outgoing mail
  • Advisor, Sponsor, and Participant notices
  • Setup and Update Plan Contacts in all applicable software programs.
  • Participant Enrollments
  • Special projects
• Communicate timely and efficiently using various channels
• Serve as team’s back-up for cross coverage to meet department deadlines
• Work as a team to complete any Special Projects requested by leadership
  

Preferred Experiences/Skills

• Strong organizational skills & detail-oriented nature
• MS Office applications (Intermediate level)
• ASPPA Retirement Plan Fundamentals (preferred, but can be obtained after employment)

Hours worked

The following are guidelines of typical hours needed to complete the work during the year. The hours needed may vary depending on workload.

• Primary hours will be normal trading business hours (7:30-4:30) working 40 hours per week. 
• During certain seasons some overtime may be necessary, ranging from approximately 41-50 hours when approved by management.
