Police Records Clerk maintains the records filing system and/or database used to manage, access, and preserve electronic and paper records of criminal justice activities. Assists in providing accurate and clear information to public and other departments. Being a Police Records Clerk may perform other clerical duties including taking photographs, fingerprints, and answering telephone inquiries. Typically requires a high school diploma or its equivalent. Additionally, Police Records Clerk typically reports to police sergeant or police lieutenant. The Police Records Clerk possesses a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area. Under the direction of the Records Bureau Commander and Police Records Supervisor, the Data Entry Clerk is responsible for clerical and data entry functions. This is a Teamster Non-Professional, union position.
Essential Duties:
- Entering Data into databases with accuracy
- Reviewing records for accuracy
- Updating databases with new or revised information as necessary
- Retrieving records and electronic files from the database
- Generate data reports as requested
- Scanning and filing
- Prepare data for analysis
- Perform other clerical duties, as directed by the Police Records Supervisor and/or Bureau Commander.
- Handle confidential information with the appropriate discretion and within policy.
- Answer phone calls and assist the public.
Minimum Skills and Qualifications:
- High school diploma or equivalent
- Some college preferred
- Two years' experience in administrative/clerical capacity
- Valid NJ Driver's License required
- Must be an NJ resident
- Must pass a thorough background investigation
- Strong communications skills, both oral and written
- Strong Organizational skills
- Working knowledge of computers and basic computer skills required, including but not limited to, Outlook and Microsoft Office
