Objective: The Accounting Clerk’s primary functions are to complete daily cash & check posting that comes through driver deliveries as well perform daily, weekly and monthly functions within AP.

Essential Job Functions:

• Process all invoices from routes and apply corresponding payments. Ensures completeness and correctness of paperwork, review/process returns and resolve discrepancies.
• Scan and upload daily invoices to the system.
• Pays vendors by monitoring discount opportunities; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.
• Pays employees by receiving and verifying expense reports and requests for advances; preparing checks.
• Maintains payable accounts by verifying and posting account transactions. Able to match invoices to purchase order and bill of lading.
• Verifies vendor accounts by reconciling monthly statements and related transactions
• Maintains historical records by filing documents and adhering/creating a new filing system.
• Accomplishes accounting and organizational mission by completing related accounts receivable and electronic payment functions as needed and by working closely with the other A/R staff. Perform other A/R duties as needed or as requested by the Credit Manager or Controller.
• Protects organization’s value by keeping all accounting and customer information/data safe and confidential.

Qualifications:

• High School Diploma or equivalent.
• 1 – 3 years of financial/accounting and administrative experience is preferred.
• Working knowledge of Word, Excel, and accounting software.
• Ability to maintain a high level of accuracy and speed in preparing and entering financial information
• Ability to maintain confidentiality concerning financial files
• Ability to meet daily, weekly and month-end deadlines
• Computer skills including the ability to operate computerized accounting, spreadsheet, and word processing programs, and email at a highly proficient level
• Analytical and problem solving skills
• Oral and Written communication skills
• Ability to multi-task
