Business Administration Specialist

    Financial Management Services (FMS), a department within Business Affairs, is responsible for creating an ecosystem which promotes innovative and sound financial administration policies and practices that balance controls, compliance, and customer service. FMS is primarily responsible for financial policy oversight, quality assurance and financial services at Stanford University and its affiliated entities. It also serves as a liaison to the hospitals and the Stanford Linear Accelerator Center (SLAC).     POSITION SUMMARY:

    FMS is looking for an outstanding Business Administration Specialist to join the Organizational Effectiveness team and provide administrative and finance support for two senior executives and their units within FMS. The ideal candidate will be comfortable functioning in a role with a wide range of responsibilities that requires a high degree of flexibility, the ability to resolve complex issues and prioritize tasks with the consideration of department needs. The Business Administration Specialist will work in a collaborative team environment and partner with staff across FMS to complete daily tasks. This position will be based on the Stanford Redwood City campus and will be a hybrid role subject to operational needs.

    CORE DUTIES:

    • Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders and administrative colleagues throughout the university.
    • Coordinates, schedules, and manages travel, meetings, seminar series, speaking engagements and conferences for most senior members of the department.
    • Provide support to the team with various projects which will require the ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, promptness, and client service.
    • Strong communication skills, verbal and written.
    • Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance.
    • Review transactions, support documents, for accuracy, consistency, authorizations, and compliance. Monitor transactions in accounting systems for clearing and outstanding items.
    • Resolve transactional inquiries, escalate broader issues.
    • Will be responsible for P-card/T-card administration, processing, travel cards and expense reimbursements.
    • Prepare and process purchase orders, invoices, and contracts.
    • Participate in new initiatives, as needed, such as user testing.
    • Maintain accounting/finance departmental files and desktop procedures and process documents for area of responsibility. Ensure compliance with university policies, and federal regulations and requirements.
    • Demonstrate a high level of diplomacy.
    • Maintain relations with the Stanford Administrative Champions to stay up to date on helpful tools, resources, and process improvement to support execution of key initiatives.

    JOB PURPOSE:

    Provide administrative or operational support with limited supervision. May be responsible for leading other administrative staff or subordinates.

    MINIMUM REQUIREMENTS:

    Education & Experience:

    • High school diploma and four years of administrative experience, or combination of education and relevant experience.

    Knowledge, Skills and Abilities (Required):

    • Advanced computer skills in Microsoft Office Suite (Word, PowerPoint, Outlook), Oracle Financials, Slack, Zoom, G Suite and demonstrated experience with office software and email applications.
    • Demonstrated success in following through and completing projects.
    • Excellent organizational skills and attention to detail.
    • Strong verbal and written communication skills.
    • Excellent customer service and interpersonal skills.
    • Ability to prioritize, multi-task, and assign work to others.
    • Ability to take initiative and ownership of projects.
    • Ability to exercise sound judgment routinely and independently in making decisions.
    • Ability to oversee and/or process a variety of complex financial transactions; produce, monitor, and resolve discrepancies.

    Knowledge, Skills and Abilities (Preferred):

    • Advanced experience with Word mail merge
    • Advanced writing skills
    • Advanced understanding of office and email etiquette

    PHYSICAL REQUIREMENTS:

    • Constantly perform desk-based computer tasks.
    • Frequently sitting.
    • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
    • Rarely twist/bend/stoop/squat, kneel/crawl.

    The expected pay range for this position is $33.17 to $37.50 per hour.
