    Detailed Description:

    In conjunction with the College of Pharmacy, Lipscomb University is seeking a full-time Administrative Assistant for the Department of Pharmacy and Pharmaceutical Sciences.  This position offers the opportunity to join a collaborative team whose focus is a student-centric approach to pharmacy education.  In accordance with the university’s mission, the College of Pharmacy also endeavors to integrate Christian faith and practice with academic excellence in order to develop pharmacists who will provide competent, compassionate healthcare to a diverse community. 

    Duties and Responsibilities:

    The Administrative Assistant will actively engage in the following duties and responsibilities to the program and university

    • Calendar:
      • Keep up with the Chair’s meetings daily, scheduling and reminding if necessary
      • Schedule department meetings and other miscellaneous faculty meetings
      • Assist faculty in scheduling meetings with students, leadership team, and/or chair
    • Attendance
      • Develop seating charts for classes to track attendance as necessary
      • Provide attendance tracking to course coordinators
    • Accommodation/Block Exams
      • Arranged for testing locations and time for accommodation students within the College of Pharmacy and communicate that information to students and faculty
      • Proctor exams for accommodation students
      • Communicate with students and faculty regarding exam proctoring
    • Exam Review
      • Work with course coordinators regarding exam review material
      • Arrange time and location for exam reviews
      • Schedule exam review for students
    • Credit Card/Chrome River
      • Pay and reconcile invoices for department expense
      • Reconcile any purchases made with department credit card
      • Keep and inventory of supplies and purchase needed items each month
    • Career Fair
      • Work with Career Fair coordinator to schedule space for residency/employer booths for job fair
      • Available for day of tasks including table set up, meeting employers, and catering needs
    • Various Administrative Duties
      • Printing, copying, and various other things like putting together spreadsheets will be a part of everyday tasks
      • Assist Faculty with projects
      • Picking up mail and packages will be a part of daily routine
      • Take minutes for department meetings
      • Assist with Summer Curricular Summits
