Job Summary:Trane has an exciting new opportunity to join our organization as a Project Administrator in our Pine Brook, NJ Equipment group. This role will assist in supporting our Greater Northeast Region offices.
As a Project Administrator, you will be responsible for project set up and seeing them through to full completion with direct responsibility for project execution, to accomplish specific goals in a given time frame. This includes project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. Additionally, this role will be responsible to CRM, Equipment Linkage, Rebate Management, and other logistical responsibilities. This position is required to closely interact with the assigned project staff to ensure the timely completion of each project.
Responsibilities include the following and other duties as assigned:
• Under limited supervision, plans and reviews assigned projects, establishes schedules and project parameters, and sets procedures to accomplish system goals.
• Schedule and participate in internal project team meetings to ensure accurate transfer of information.
• Validates cost to date and reconciles project data in business system.
• Manages invoicing process and coordinate format, layout, attachments, and mailing with Shared Financial Services.
• Reviews billing backlog and coordinates/communicates with Project Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
• Share project concerns with Project Manager and legal staff.
• Administers Logistics Freight Claims
• Handles financial processing of vendor payments, internal claim filing/processing.
• Close out documentation of projects, warranties, installation/operation manuals as needed.

• One-year certificate from college or technical school; or three (3) plus years of related experience and/ or training; or equivalent combination of education and experience.
• Participate in and contribute to lean improvements activities.
• Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
• Proven experience prioritizing tasks to meet tight deadlines within a high-paced environment.
• Familiarity with the operation of HVAC Systems preferred, not required.
• Flexibility to work overtime/ weekends, as required.

Salary: $55,000 - $80,000 base salary, plus overtime
