POSITION SUMMARY
ETW Energy is seeking a motivated and experienced Sales and Project Coordinator to join our team and play a key role in supporting our mission of delivering exceptional service and sustainable energy solutions. This position requires a proven track record of delivering consistent and predictable results through effective coordination and continual improvement in safety, efficiency, and quality.
You will bridge the gap between sales, customer success, and project execution. Your responsibilities will include supporting the sales team, managing customer relationships, and overseeing project timelines to ensure seamless communication and exceptional customer satisfaction.
In this role, you will interact with a diverse team of installation and electrical crews while coordinating with municipalities, distributors, design engineers, service teams, and subcontractors to ensure projects are completed successfully.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Sales Support:
- Maintain and update customer databases and CRM systems and collect data that is needed to improve accuracy of the proposals.
- Monitor the sales pipeline, tracking progress and identifying potential roadblocks. Coordinate lead follow-ups and manage communication with prospective clients.
- Assist and coordinate sales proposals, including pricing and project scope details.
- Maintain accurate project documentation, including contracts, proposals, and change orders
Customer Management:
- Serve as the primary point of contact for customers throughout the project lifecycle. Support processes for new clients and provide ongoing relationship management.
- Address customer inquiries and concerns promptly, ensuring satisfaction. Drive a low cycle time by coordinating with key stakeholders regularly.
- Conduct regular updates with customers to discuss project updates, address concerns, and manage expectations.
Project Coordination:
- Coordinate with the design team to review specifications and ensure their feasibility prior to project permitting and construction.
- Monitor licensing in various jurisdictions and handle renewals in a timely manner.
- Schedule crews and order equipment, and materials, to meet project requirements.
- Assign tasks to project team members and monitor progress against deadlines.
- Develop and track project timelines, deliverables, and milestones throughout via CRM
- Prepare comprehensive project updates, highlighting key milestones, challenges, and deviations from the project plan.
REQUIREMENTS (EDUCATION, EXPERIENCE, CERTIFICATIONS, AND OTHER SKILLS)
- 2-3 years of experience in operations functions with progressive advancement in roles, responsibilities and results.
- Excellent time management skills, with the ability to be self-motivated to manage multiple projects and deadlines.
- Proficiency in project planning, scheduling, and resource management.
- Excellent communication and interpersonal skills, with the ability to collaborate and communicate effectively with stakeholders at all levels.
- A teammate with the ability to maintain focus and good humor whilst working in a fast paced environment with rapidly shifting requirements.
- Proficiency with CRM software, project management tools, and Microsoft Office Suite.
PHYSICAL DEMANDS
- Must be able to sit/stand for extended periods of time throughout the work day.
