Additionally, Purchasing Clerk coordinates with internal teams to ensure that procurement needs are met promptly and efficiently. Requires a high school diploma. Typically reports to a supervisor or team leader. The Purchasing Clerk works under the close direction of senior personnel in the functional area. Purchasing Inventory Clerk

  • SUMMARY:  The primary responsibilities of this position is to perform all activities related to the receipt of food and beverage, for the hospitality departments and assist in the maintenance of all inventories and inventory control.

    DUTIES AND RESPONSIBILITIES:

    1. Maintain Vendor compliance with the Company’s product specifications.

    2. Submit all purchase requests for approval in accordance with authorized expenditure levels. 

    3. Inspects all deliveries to insure that items are not damage or spoiled and process returns to vendors as necessary.

    4. Physically counts inventory items to verify accuracy on a daily, weekly, monthly basis. Verify usage against physical count of stock.  Investigates and reports reason for discrepancy.

    5. Count, sort, weigh, store all incoming goods to verify receipt of items against all invoices.

    6. Manages stock rotations including proper storage for all Food and Beverage department.

    7. Ensure that all purchases are from Lake of the Torches approved vendor list. 

    8. Prepare purchase orders and invoices to be maintained in an accurate filing system.

    9. Supervise and monitor inventories that correct entries are made.

    10. Responsible for the timely and cost efficient purchase and delivery of all vendor goods for Food & Beverage.

    11. Review all proposed and received orders to ensure vendor compliance.

    12. Adhere to the approved vendor list.

    13. Report inventories in a manner that is timely and consistent with company policies.

    14. Responsible for maintaining a consistent and regular attendance record.

    15. Communicates changes in specifications with Director, Managers, Vendors, and Systems Administrator.

    16. Research the food and small wares, equipment for the most cost efficient purchases.

    17. Responsible for the quality of all food that is received at Lake of the Torches Casino.

    18. Performs other duties as assigned.

    SUPERVISION RECEIVED:  Performs position responsibilities under the direct supervision of the Eagle’s Nest Kitchen Manager. Working with the Director of Hospitality, Woody’s, Banquet Catering, and Marketing manager as needed.

    POSITION RELATIONSHIPS:

    Internal: Continual contact with food and beverage departments, shipping and receiving associates.

    External: Frequent contact with suppliers, vendors, external shipping and delivery providers.

    EDUCATION:  A High School education or equivalent is required.  

    EXPERIENCE:  A minimum of two year supervisory, general kitchen, shipping and receiving or inventory control experience required. Vocational training or related purchasing experience is preferred

    KNOWLEDGE, SKILLS AND ABILITIES:  Must possess excellent interpersonal, communication, problem solving, and organizational skills.  Must be familiar with PC’s and related software and have a thorough knowledge of sanitation and safety, inventory controls and supplier purchasing.  Must be able to effectively communicate in one-on-one and small group situations.  Must be able to read, interpret and apply instructions and technical terminology furnished in written, oral or diagram form.  Must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, percentages, common fractions, and decimals.  Must be able to apply commonsense understanding to a variety of situations, in order to collect data, analyze facts, and determine appropriate response. Must be able to manage and maintain confidential and sensitive information with diplomacy and tact.  Must maintain a professional demeanor in stressful situations as necessary.

    WORKING ENVIRONMENT:  

    Work Conditions: The majority of position responsibilities are performed within the Eagle’s Nest kitchen and in an office environment.  

    Exposure to Hazards: May be exposed to low-to-moderate noise level (offices, kitchens), moderate-to-loud noise level (public areas), moving of mechanical and/or electrical components, chemical solutions such as cleaning, polishing and lubricating compounds. The majority of the position responsibilities are performed in a kitchen environment, coolers, freezers and the shipping and receiving dock with exposure to differential in temperature.

    Physical Requirements:  Must be able to walk and stand for extended periods of time.  Must be able to sit, bend, or lift on a regular basis during the shift. Must be able to lift and/or move objects weighing up to eighty (80) pounds.

    OTHER:  Must attend all mandatory meeting and participate in departmental training and development sessions.
