    Job Description Summary
    The Purchasing Coordinator provides critical support in the area of acquisitions, travel, and all events for the Department of Biochemistry and Biophysics. Primary function is to prepare, coordinate, manage, record, and track all expense transactions for the department. Review and monitor all acquisitions through Ben Financials, and travel reimbursement requests through Concur to ensure they meet university policy standards and sponsor compliance. Provide support and guidance to lab managers assigned as Requisitioners in Ben Financials, and assist in resolving Concur access issues.

    Job Responsibilities

    Monitor and approve all requisitions submitted by lab managers and other lab personnel.Monitor account entry for errors and review items for allowability and compliance with university policy and sponsor regulations. Record transactions into Filemaker database. Record travel transactions flagged for schedule F reporting in Filemaker.Prepare annual Schedule F report as required by Penn's Corporate Tax Office.
    Provide support for procurement, including managing supplier registration process and following up with vendors as needed, administration and management of purchase orders (including review of open purchase orders and closing as needed), reviewing and resolving uncashed checks and addressing issues with vendors as needed.
    creating complex capital purchase purchase orders, and assisting/advising faculty on obtaining quotes and discounts for large supply orders with contract vendors. Coordinate with lab services coordinator to track, tag, and record capital purchases. Also create PO's for subcontract agreements on sponsored research accounts.
    create non-PO payments as needed. Coordinate with lab personnel and Accounts Payable to ensure receipt of goods and timely payment of invoices.
    Provide support to Grad Group Coordinator and Academic Coordinator in managing all transactions associated with student recruitment, annual retreat, weekly seminars, special seminars, faculty recruitment activities, and Postdoc monthly meetings.
    Responsible for monitoring Department credit card purchases using central Procard. Review expenses and transfer Procard transactions weekly to appropriate accounts and monitor transactions for compliance with University policy.
    Assist Grants Manager with transaction questions associated with reconciling and clearing encumbrances during grant close out process.
    Manage all PO's for annual contracts on copier, as well lab sterilization equipment, DI water systems, and autoclaves.
    Other duties as assigned.

    Qualifications

    High School Grad/GE Degree and 3 to 5 years of experience or equivalent combination of education and experience is required.
