Regional Administrative Manager manages the daily operations of an organization's staff and service functions. Oversees various internal service areas that typically include administrative/office/financial operations, facility maintenance/space planning, security, hospitality services, equipment and supply procurement, vendor management, and others. Being an Regional Administrative Manager tracks capital and operating budget spending. Implements processes and policies that support efficient service delivery and meet the organization's changing needs. Additionally, Regional Administrative Manager sets performance goals and service targets for staff used to evaluate performance and to drive continuous improvement. Utilizes data analytics to measure activity and drive continuous improvement. Typically requires a bachelor's degree. Typically reports to top management. The Regional Administrative Manager typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be an Regional Administrative Manager typically requires 3+ years of managerial experience.   • Summary of Essential Functions

    • Manages routine and detailed secretarial and coordination functions within the department. 
    • Maintains, files and reports in proper order.  Meets deadlines with prompt, thorough approach, with ability to prioritize various requests and complete duties as required.
    • Performs a wide variety of typing and data entry assignments that are often confidential in nature.
    • Develop, enter, maintain, and manage schedules, payroll and time corrections

     

    Educational Requirements

    • High school diploma or equivalent required.
    • Degree from university preferred.
    • Must be able to communicate effectively in English, both verbally and in writing. 

     

    Knowledge/Skills/Abilities

    • Previous secretarial experience in a hospital setting preferred.
    • Must be able to follow through on projects for timeliness, completeness and serviceability. 
    • Ability to communicate effectively and courteously with medical, technical, patient, and visiting persons.
    • Demonstrate patience, tact, diplomacy and persistence in daily contact with patients, physicians and their staff, visitors, and all hospital personnel. 
    • Understand and comprehend basic medical terminology.
    • Extensive knowledge of Microsoft Office Products.
    • Must have strong computer skills.
    • Ability to type sixty (60) wpm for computer data entry ensuring correct spelling and grammar.

     

    Physical Requirements

    • Primarily works the day shift tour of duty; additional hours may be asked to work other hours as needed, including weekends.
    • Ability to distinguish between numbers and symbols.
    • Hand-eye coordination and manual dexterity with substantial movement of wrist and/or fingers.
    • Walking and climbing to accomplish tasks.
    • Corrected vision and hearing to normal or near normal range.
    • Extended periods of sitting and/or walking depending on specific duties.

     

    Duties and Responsibilities

    • Handle correspondence as required and/or requested by the directors, managers, and coordinators. Maintains department records and established department filing system to ensure the expeditious retrieval of.
    • Maintain master files and/or reports as necessary to support end users and the goals of the system. 
    • Develop, enter, maintain, and manage schedules, payroll and time corrections. 
    • Coordinate divisional activities; determine priorities including but not limited to Coordinates department meetings; records, types and files minutes. Files all correspondence, reports, and forms in an appropriate location and in an orderly fashion within specified time frame of department.
    • Provides enhanced reporting to assist in resource utilization and flexible staffing. Develops data collection tools and reporting mechanisms to clearly communicate various aspects of staffing clinical areas. These reports will provide information which will be used to reduce overtime usage, staffing needs, identify resources overlooked, and assure all resources are utilized appropriately.
    • Develop effective data collection tools. Routinely collect and input data into spreadsheets. Utilize effective reporting tools to communicate data results to various PI and administrative meetings.
    • Coordinates with multiple departments/areas to identify improvement opportunities, open communication, increase collaboration, and minimize redundant processes.
    • Effectively manages, prioritizes, and organizes workload to complete assigned functions in a timely accurate manner. Accountability and high quality performance are integral in the success of this role.
    • Inputs/updates job descriptions, policies and other word processing assignments for this service.
    • Accepts additional assignments/duties as assigned by supervisor to include but not limited to: Compile/distribute the daily/weekly huddles, monthly meeting materials, scan and appropriately e-file various forms for each department, update competency files monthly, update and distribute recall roster for each quarterly review, address thank you cards for all departments and complete various reports in computer/spreadsheets etc.
