Job Description:
ABOUT THE ROLE
To assist with the registration process and administrative tasks for the World Credit Union Conference.
WHAT YOU WILL DO

Receive and process registration requests for the World Credit Union Conference as needed.

Maintain communication and relationships with conference attendees and fulfill all information requests in a professional, timely manner.

Write and provide visa letters for conference participants.

Issue invoices/purchase orders/tax receipts as necessary to attendees.

Attend all team meetings to prepare meeting minutes and notes.

Assist in proofing all conference copy.

Perform multifaceted general office support.

Staff the registration desk onsite at the annual conference.

Other duties as assigned.

Assist in coordinating pre-conference logistics such as preparing activity confirmations, generating final attendee lists, and other similar tasks

Monitor and track incoming wire transfers/check payments received and reconcile the registration system with the accounting team to maintain accurate records

Send periodic payment reminders as needed

Create and maintain weekly reporting systems, specifically to track weekly registration numbers and statistics and provide regular updates.
Experience and Skills:
WHAT WE REQUIRE

Associate's or bachelor's degree preferred. In lieu of a degree, high school diploma and 3 years of recent, relevant experience required.

Must possess good organization skills and be detail-oriented; ability to manage priorities of various duties/tasks with multiple stakeholders/internal clients; Must be able to work in a fast-paced environment with task goals continuously changing

Fluency in English (spoken and written) is required and a second language strongly preferred with excellent writing, editing and proofreading skills.

Basic mathematical skills required, including ability to add, subtract, multiply, divide and calculate figures such as percentages.

Proficiency in computer-based systems including databases, Microsoft Office products (Word, Excel, Access, PowerPoint, Outlook). Proficiency with Cvent Event Management software preferred.

Legal right to work in the US without the need to be sponsored for a visa

Willingness and ability to travel up to eight (8) days per year including both domestically and internationally
