Job Description:

Longwood University invites qualified applicants to apply for two positions open in the Office of Student Accounts. The Revenue Manager (00058) will be responsible for receipting all revenue into the university's financial system, drawing federal funds, preparing accounting entries, and managing uncashed checks. The Collections Manager (00029) will be responsible for all student billing processes, for managing the entire collections cycle from inception to completion, and for preparing accurate and timely reports on those processes. Both positions will be filled from a single applicant pool.

Responsibilities:

• Review Longwood's electronic payments and the Commonwealth's RediVA payments received and prepare entries for those deposits
• Retrieve ATA (Agency-to-Agency) deposit transactions in Cardinal and prepare corresponding Banner entry
• Coordinate with Grant Accountant to prepare all entries to receipt grant funds to the university financial system
• Prepare Banner and/or Cardinal entries as needed during fiscal month
• Draw funds from Federal G5 Payment Center and prepare corresponding entry
• Prepare entries for receipt of private loans funds
• Perform weekly Bank 5 reconciliation to determine funds needing transfer to State Treasury and prepare corresponding entry
• Manage uncashed student refund checks process and ensure compliance with federal regulations to return uncashed refunds to the Department of Education within 240 days of issuance
• Process bi-weekly student e-Billing processes, monthly paper bills, as well as pre-collection bills for delinquent accounts
• Update all scheduled Banner processes such as fee assessments and hold processes
• Serve as delinquent accounts coordinator and report delinquent accounts to collection agencies
• Report accounts to Tax Set-Off and the Office of the Attorney General for collection
• Prepare quarterly accounts receivable reports for current and delinquent accounts
• Serves as backup processor/co-processor of student tax forms, to include 1098-T and 1042-S forms
• Update scheduled reports in university reporting software
• Manage all aspects of the book voucher daily files to and from bookstore in a timely manner
• Update Operations Calendar each semester and update departmental Outlook calendar accordingly
• Communicate with other departments and public stakeholders regarding important processing deadlines and important operational dates
• Assist Longwood and State Treasury Staff in identifying and reconciling discrepancies between Deposit Certificates (DCs) and deposits received by State Treasury
• As a critical member of the year-end planning team, the incumbent will be responsible for managing revenue and deferred revenue for the university

Requirements:

Minimum qualifications:

• Prior experience in higher education, banking, accounting, or related field
• Work experience interpreting and applying state and federal regulations including the Virginia CAPP manual and the Federal Educational Rights and Privacy Act
• Excellent organizational and time management skills
• Ability to work independently, manage multiple tasks, and set priorities
• Strong customer service skills that demonstrate ability to establish and maintain effective working relationships
• Demonstrated proficiency in MS Office Suite
• Demonstrated track record of professional conduct

Preferred Qualifications:

• Associates degree in Accounting preferred; Bachelor's degree in Accounting or Business highly preferred
• Relevant work experience in Student Accounts or college/university Business Office
• Working knowledge of Commonwealth of Virginia policies, procedures, practices, and systems
