MANAGER, VOLUNTEER INCOME TAX ASSISTANCE (VITA)
PURPOSE OF POSITION: To continue to develop and manage the Volunteer Income Tax Assistance (VITA) program's expansion and delivery in Summit and Medina Counties. The VITA Manager oversees the Volunteer Income Tax Assistance (VITA) program and will act as a tax and IRS subject matter expert in regard to the VITA program. This role oversees the Coordinator, VITA, ensures that our VITA sites comply with IRS regulations, and works to streamline processes to maintain and expand the VITA program. To guarantee high-quality service delivery, this position works directly with the VITA Coordinator, overseeing VITA volunteer recruiting, training, scheduling, and site administration. The Manager, VITA, works to further impact financial empowerment through partnership, program development, implementation, and communication about program successes.

Innovative: To help customers maximize their returns while adhering to IRS regulations, and increasing program efficiency, this position is committed to finding opportunities for the VITA Coordinator and volunteers to further develop their knowledge of tax preparation as well as implement program improvements for greater community impact.
CORE RESPONSIBILTIIES:
- Program Management: Performs all responsibilities that will ensure the safe and efficient operation of UWSM’s VITA site, including maintaining the privacy and confidentiality of taxpayer information. Serves as the main program contact for VITA for the public, multiple tax sites, and the IRS; responds to inquiries as needed. Provides tax site administration, including the collection of required IRS forms, site material orders, software setup, and volunteer placement. Ensure all tax sites follow IRS Quality Site Requirements, prepare tax returns, e-file tax returns, and resolve rejected returns in a timely manner. Oversees tax appointment screening and appointment scheduling processes; mobile tax sites; and drop-off taxes. Serves as the administrator of appointment scheduling software.
- Supervision: Provide oversight of the VITA program, including supervision of the Coordinator, VITA, to ensure high-quality free-tax preparation services in Summit and Medina Counties. Ensure UWSM’s VITA sites meet all IRS quality site requirements and explores new opportunities to collaborate and expand the impact of the VITA program. Works closely with Vantage Aging in regard to UWSM Vantage Aging employees’ VITA duties and responsibilities.
- Volunteer Management: Implements volunteer recruitment plan in conjunction with the Coordinator, VITA; maintains volunteer records; ensures all volunteers are properly trained; and provides ongoing correspondence to volunteers. Liaison with corporate partners and high-level volunteers and donors. Ensure the IRS Code of Conduct and Confidentiality Regulations are being practiced by all volunteers. Consistently recognize and appreciate volunteers through ongoing volunteer engagement and the end-of-tax season volunteer celebration. Manage VITA and any seasonal volunteers.
- Training: Coordinate and conduct tax training for volunteers in collaboration with the VITA Coordinator. Ensures volunteers are trained and certified and site compliance is in alignment with IRS guidelines.
- Program Reporting: Track the stories and successes of program participants through ongoing data collection. Analyze data from TaxSlayer and other databases to inform program planning and utilize data to prepare reports for UWSM management, funding agencies, and other stakeholders. Every year, request and gather two clients’ success stories.

QUALIFICATIONS:
- Proficient in personal finance and tax preparation, learned in studies for a bachelor’s degree or throughout an accomplished career in financial services.
- Suitable experience in volunteer management in the financial service industry or tax preparation with demonstrated success and accomplishment throughout the career.
- Proficient in database software, data analysis, and reporting
- Previous work experience working with diverse, low-income populations.
- Potential to succeed in building, motivating, and leading.
- Competent in MS Office products, with a strong degree of proficiency with Microsoft Excel

OTHER REQUIREMENTS:
- Must be willing to work flexible hours to meet the needs of the position, including evenings and Saturdays, specifically during tax season (Jan – Apr.)
- Position is primarily in a normal office setting, requiring periods of sedentary work at a desk and computer. However, tax season may require the position to spend consecutive hours standing or walking briskly
- Ability to routinely travel throughout a multi-floor office utilizing stairs.
- Minimal lifting of up to 10 pounds occasionally.
- Ability to pass pre-employment testing including background check, drug and alcohol screen.
- Valid driver license and proof of insurance. Access to reliable insured automobile to be used for work-related travel in Summit & Medina County area.
