    ABOUT THIS ROLE:

    This role will focus on Projects, Operations and Analytics with the People Operations team.  You will report to the Vice President of People Operations and assist in providing day-to-day oversight and logistical support for our projects, HRIS administration and other general department operations.  This position is exempt and allows telecommuting up to 3 days a week from home.  Must be a commutable distance to any office: San Diego or Glendale Alamo, or Granite Bay. 

     

    IN THIS ROLE YOU WILL:

    • First point contact and responsible for all HRIS employee life-cycle transactions, e.g., set up, auditing, new hire through termination.
    • Processes pay and position related transactions within HRIS, including hires, promotions, transfers, performance reviews, terminations, and employee statistics for government and other reporting.
    • First point of contact and responsible for HRIS oversight, including data integrity and auditing. Assists subject matter experts with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities. The HRIS analyst also supports HRMS upgrades, patches, testing and other technical projects as assigned.
    • Manage all POPS related dashboards/data, interfacing with the D&T (Data and Technology) team on implementation and updating.
    • Recommend process/customer service improvements, innovative solutions, policy changes and/or major variations from established policy that must be approved by POPS senior leadership prior to implementation.
    • Serve as a key liaison with third parties and other stakeholders (e.g., payroll, outside vendors, internal project partners). Provide overall project management support for an assigned POPS initiatives such as open enrollment, performance management cycles, etc.
    • Collaborates and consults with payroll as necessary to ensure program compliance; reviews and takes appropriate action on payroll related information. Process payroll as a backup.
    • Prepare spreadsheets, reports, employee announcements and presentations.
    • Provide support and guidance with Company programs, including annual health screenings, wellness challenges, Service Day, Open Enrollment, etc.
    • Provide support and guidance in the coordination of company activities such as summer schedule, company recognition, special events, etc.
    • Provide administrative support for POPS’ team, and department leader, as requested.
    • Maintains and initiates ongoing enhancement of POPS’ section of BETA’s Intranet.
    • Set-up meetings, (incl. video conferences) as requested.
    • Participates in the research and implementation of assigned POPS related training programs, coordinating and scheduling training programs for all locations, where appropriate.
    • Participates in POP’s projects including research, writing, design and administration.
    • Maintains and initiates ongoing enhancement of POPS’ section of BETA’s Intranet.
    • Ensures all Federal and State required postings are up to date.
    • Uses efficient and cost-effective approaches to integrate technology into the POPS function to improve and/or enhance processes. Streamline and document respective position practices and procedures (e.g. department work procedures).
    • Provides research and assistance in the development of employment related forms and procedures.
    • Participate on various committees, such as Wellness, Safety and Activities, as well as be involved in special projects.
    • Must have reliable and safe transportation to travel to other BETA offices. Employee(s) using their own personal vehicle for business use must maintain: (a) a valid California driver’s license, (b) proper vehicle registration and (c) California’s minimum automobile insurance coverage limits
    • Provides back up support to other POPS staff, as needed
    • Other duties as assigned.

     

    What Success Looks Like:

    After the first six months, you will:

    • Know the business – what BETA does and why
    • Know our POPS processes and systems
    • Be integrated into the workflows and familiar with our structures
    • Know the internal stakeholders and partners
    • Figure out how your working style integrates into the BETA culture and our team
    • Have had a few quick wins and built a plan for the next six months

    After the first year, you will:

    • Own your areas of responsibility and work with high levels of autonomy
    • Be fully integrated into BETA culture and programs
    • Have full awareness of POPS programs and be able to make recommendations for process improvements and value add items

     

     

    REQUIREMENTS:

    • High school diploma or G.E.D. required. Bachelor’s degree, with an emphasis in business management, people operations, management or organizational development is preferred. Or in the alternative, demonstrated work experience in these areas.
    • Minimum 4 years of POPS required; project management experience strongly preferred.
    • HR Certification and/or HRCI/SHRM Certification strongly preferred, Project Management Certification a plus
    • Advance-level skills and demonstrated proficiency in the Microsoft Windows environment (incl. Word, Excel, PowerPoint, and Outlook). Direct hands-on experience with an HRIS, preferably Paycom, with the ability to create reports as required, using the report writing tools available, or creating custom reports/documents.
    • Commitment to excellence and high ethical standards, with the ability to maintain confidentiality.

     

     

    Hiring base salary range: $80,000 - $100,000 annually depending on experience
