Job Overview
We are seeking a detail-oriented Administrative Assistant to join our Safety Department in a remote work-from-home capacity. In this pivotal role, you will collaborate closely with the Safety Director and the team to ensure our trucking divisions adhere to local, state, and federal safety standards, as well as our company’s internal safety protocols. Your contributions will be crucial in the preparation, evaluation, and organization of regulatory and compliance documentation, thereby supporting our commitment to maintaining exceptional safety scores and compliance records.
Key Responsibilities
- Compliance Management: Aid in overseeing internal and external compliance reporting, providing guidance, conducting investigations, and supporting educational initiatives.
- Regulation Monitoring: Assist in the enforcement of DOT, OSHA, and FMCSA regulations, guaranteeing the team’s full compliance.
- Driver Qualifications & Records: Support driver compliance efforts, including tracking medical cards, physicals, licenses, and driving records annually.
- Drug Screening & Safety Clearinghouse: Facilitate pre-employment drug screening processes and maintain records in the FMCSA Clearinghouse.
- Accident Claims & Audits: Contribute to managing vehicle accident claims and perform daily audits of drivers using fleet management software to ensure adherence and productivity.
- Safety Training & Reporting: Monitor monthly safety training topics and meetings for both commercial and non-commercial drivers.
- Inspection Coordination: Assist in scheduling inspections, evaluations, and program assessments to identify and mitigate potential hazards.
- File & Document Management: Manage the scanning, filing, emailing, and mailing of essential safety documentation.
- Fleet Safety Oversight: Support monitoring of the extensive vehicle fleet safety program, including periodic record verifications.
- Driver Orientation Support: Engage in driver orientations, which include reviewing driver qualification forms, handbooks, and FMCSA safety videos.
- PPE & First Aid Supplies: Aid in the management of PPE and first aid supplies for both shop and driver requirements.
Required Skills
- Proficiency in MS Office Suite.
- Valid driver's license.
- Strong attention to detail and urgency.
- High school diploma.
- Reliable personal transportation to the office.
Qualifications
Preferred Skills:
- Experience with safety software such as HireRight and Tenstreet.
- Familiarity with federal and state safety laws, particularly FMCSR.
- Knowledge of OSHA regulations.
- Ability to interpret safety documentation and guidelines.
- Strong written and verbal communication skills.
