    Park County RE2 is currently looking for an experienced and qualified Administrative Assistant to the Superintendent & Secretary to the Board of Education.

    DESCRIPTION Under general direction of the Superintendent, coordinates and performs skilled secretarial and clerical work to provide complete administrative support assuring efficient Administrative Office operations that will ensure effective and timely service to the Board of Education and to the District.

    Manages the District’s employee relations programs, policies and procedures, including, but not limited to: grievance investigations and arbitration preparation. Consistently apply and interpret District policies and procedures to ensure proper compliance with governmental laws and regulations. Support superintendent and administration to conduct harassment, discrimination and other employee related investigations and resolve complaints. Coach administrators and supervisors regarding hiring related inquiries/questions.

    Provides support through collaborative leadership with Administrative Office team members; offers expert consultation, strategic vision, assistance and direct administration of critical day-to-day Human Resources functions. Oversees updates to pay schedules on contracts, reclassification for professional development reviews and other areas of compensation. Responsible for the ongoing support, coordination and enhancements to the District’s HR information systems and HR business processes/operations.

    GENERAL DUTIES

    · Organizes and expedites the flow of work through District Administrative Office and the Office of the Superintendent.

    · Oversees the development of the office work plan, assigns work activities, projects and programs, monitors work flow, develops and implements policies and procedures, reviews and evaluates systems, methods and procedures.

    · Performs a wide variety of skilled secretarial and clerical work, including typing, proofreading, filing, checking and recording information. Establishes and maintains record systems and files.

    · Communicates with a wide variety of staff and community members. Communicates effectively with the business and residential community.

    · Arranges and schedules meetings, appointments for Superintendent and Board of Education.

    · Arranges and schedule all job interviews for all buildings and departments.

    · Screens calls and visitors; screens incoming correspondence routed through the Administrative Office for priority and background information.

    · Types and maintains a heavy volume of complex and confidential reports. Compiles reports, handbooks, and special projects from a variety of sources.

    · Independently composes correspondence, answers inquiries, and supplies information on a wide range of technical and program matters for administrators, teachers, staff and the public.

    · Takes and/or transcribes dictation for a wide variety of subjects.

    · Coordinates work of other administrative assistant/secretarial staff members to ensure timely completion of work, and complete and accurate records.

    · Attend conferences and meetings for the purpose of maintaining professional knowledge, and to represent the District.

    · Maintains a commitment to ongoing growth in self and others; support and participates in professional growth programs.

    · Demonstrates positive attitude toward job and remains a flexible and innovative team builder.

    · Participates in site and District level planning, and sits as a member of boards, committees, and study groups.

    · Maintains cooperative working relationships with District and site administrators.

    · Works effectively, professionally and tactfully with diverse populations. Informs and responds to others’ inquiries clearly and succinctly. Develops and maintains positive working relationships with employees and community members.

    · Drafts correspondence and sends on behalf of Board of Education.

    · Provides administrative support to BOE including elections, meetings, agendas and minutes.

    · Reviews and maintains board and District policies as required including ensuring Superintendent review, board approval and posting.

    · Schedules and coordinates Board of Education and related meetings as required, including scheduling of facilities arrangements, preparing agendas and board packets, arranging for catering and distributing materials to all parties.

    · Oversees the facilitation of employee staffing and transfer processes. Facilitates workforce reductions and/or terminations in accordance with negotiated agreements and board policies.

    · Identifies, documents, develops and recommends continuous improvement of HR processes; delivers innovative solutions to meet departmental/school needs. Recommends changes to support district initiatives.

    · Complies with federal, state, and local laws. Studies existing and new legislation; consults with district legal counsel; enforces adherence to requirements; and advises management on needed actions related to employee issues.

    · Manages hiring procedures including posting job vacancies, processing applications for new hires, creating and managing personnel files, verifying credentials and transcripts for applicants.

    · Oversees benefits administration including handling any staff benefits questions or needs, preparing the Superintendent for benefits renewal negotiations, and managing the benefits administration website.

    · Processes all worker’s comps claims and follow-up.

    · Processes all unemployment claims and correspondence.

    · Manages Facility Use reservations, fees and scheduling.

    · Manages all employee absences through the Absence Management System.

    · Maintains all CBI records and clearances.

    · Performs such other duties as may be required or directed.

    · Handles all CORA records requests in a timely manner, following all laws and regulations.

    EDUCATION & LICENSES (REQUIRED)

    · Associate’s degree or equivalent from two-year college or technical school and two years’ related experience

    · and/or training or equivalent combination of education and experiences is preferred.

    · Requires a valid Colorado driver’s license.

    · Criminal Justice Fingerprint Clearance

    EXPERIENCE (PREFERRED)

    · Successful and increasingly responsible office experience, which includes the exercise of independent judgment, preferably including experience in a public school setting or School District Office.

    · Any combination of training and experience that would likely provide the required level of knowledge and skills.

    · Minimum of two or more years of experience working in Human Resources.

    · Notary Public Certification

    KNOWLEDGE OF

    · Correct English usage, spelling, grammar and punctuation.

    · Current technology and software applications including word processing, presentation preparation, spreadsheet/database, and internet access.

    · Current office organization, procedures, and practices.

    · District policies, rules and regulations applicable to the department.

    · Business letter writing and basic report preparation.

    · Principles and procedures of record keeping.

    · Receptionist and telephone techniques.

    · Demonstrated skills in facilitation, problem solving and conflict management

    · Broad knowledge of HR policies and practices; employee relations; training and development; performance management; compensation and benefits; organizational change and effectiveness; and state and federal labor laws and regulations

    · Strong knowledge/experience in office productivity software including Word, PowerPoint, Excel and related
