Secretary performs various clerical and secretarial duties such as filing, typing, copying documents for an individual, office, business unit, department, or other organization group. Screens and transfers calls, arranges meetings, and compiles basic information for routine reports or other materials. Being a Secretary may distribute mail, handle travel accommodations and maintain office supplies. Has basic word processing, spreadsheet, and graphics software skills. Additionally, Secretary requires a high school diploma or its equivalent. Typically reports to a supervisor or manager. The Secretary possesses a moderate understanding of general aspects of the job.     Reports to: Polytechnic Academy and Early Learning Academy Directors

    Knowledge, Skills and Abilities

    Considerable knowledge of bookkeeping principles and methods and their application to work situations. Significant knowledge of computers, copy machines, and other standard office machines. Knowledge of rules and regulations controlling budgetary and internal recordkeeping activities. Ability to work independently and carry out assignments to completion with little or no supervision. Ability to keep complex records and to assemble and organize data for preparing reports. Ability to maintain effective working relationships with other employees. Extensive knowledge of the operation and programs of the school system. Ability to deal effectively and courteously with students, parents, school employees, and the general public.

    Essential Duties and Responsibilities (others may be assigned)

    1. Minimum of High School Diploma or GED

    2. Training or successful experience in bookkeeping desired

    3. Physically able to perform assigned duties

    4. Knowledge of Paths to Quality, NAEYC, and Indiana licensing standards preferred

    5. Professional dress and appearance is a must

    6. Must be competent in language arts and math

    7. Ability to interact professionally with adults and children with a positive attitude

    8. Maintain confidentiality on job related tasks

    9. Must be willing to learn, set professional goals, and participate in job-related training

    Performance Responsibilities (others may be assigned)

    A. Work Habits

    1. Observes assigned work hours

    2. Maintains a pattern of prompt and regular attendance

    3. Follows the daily schedule as assigned

    4. Adjusts positively to work assignments and/or schedule changes

    B. Performance Responsibilities

    1. Counts, receipts, and documents all school monies

    2. Enters all transactions into a computer (if applicable)

    3. Generates invoices as needed

    4. Keeps track of supply inventory, proactively places orders and ensures budget amounts are followed

    5. Provides general clerical support in the school office if required

    6. Performs other duties as assigned by the Directors or their designee

    7. Demonstrates ethical behavior and confidentiality of information about students in the school environment and community

    8. Maintains a cooperative working relationship with the principal, students, parents, staff, and public

    9. Keep drill log current for the building (fire, storm, intruder)

    10. Complete and maintain the following reports: CP, CC, CTE

    11. Enter dual credit in Powerschool

    12. Send student grades to participating schools

    C. Training and Experience

    1. Maintains expertise in assigned areas

    2. Participate successfully in professional learning opportunities available to increase skill and proficiency related to the assignment

    3. Participates successfully in computer training to attain and/or maintain skills necessary to achieve proficiency in performance responsibilities

    D. Personal Qualities

    1. Demonstrates a positive attitude toward work assignment

    2. Accepts responsibility for the work assigned

    3. Maintains appropriate appearance and personal hygiene

    4. Accepts constructive criticism

    E. Additional School Level Responsibilities

    1. Schedule Picture Day

    2. Responsible for documenting all transportation changes and communication changes with staff

    3. Creates monthly newsletter and distributes to classrooms and uploads online to be emailed to families

    4. Keeps accurate attendance records

    5. Ensures all CCDF and OMWPK hours are documented correctly and are kept up to date

    6. Reaches out to new enrollment inquiries

    7. Ensure enrollment whiteboard is current based on information gathered during enrollment inquiries

    8. Ensures all child files are kept current and contain all required materials

    -The employee must regularly lift and /or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.

    -Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

    Evaluation

    Performance evaluation is ongoing. Annual evaluation completed by the Director or their designee.

    Pay: $14.00 - $20.00 per hour
