Job Overview:

We are on the lookout for a meticulous Project Administrator to enhance our Construction and Service Install departments. In this role, you will provide essential support to maintain our high standards of project execution throughout the Chicagoland area.

Responsibilities:

• Coordinate and document project meetings, ensuring information is shared efficiently.
• Uphold project guidelines and procedures to optimize workflow.
• Review, update, and manage contract documentation, ensuring accuracy and compliance.
• Organize and maintain project, vendor, and subcontractor files.
• Administer and request essential documentation, including Certificates of Insurance, Contractor Registration, Permits and Closeouts
• Facilitate sub-agreements, certified payroll (LCP Tracker), prevailing wage (both Federal and State), lien waivers, and billing with precision (AIA 702-703 forms, Textura)
• Process purchase orders and invoices, maintaining financial integrity.
• Aid Project Managers in tracking and reporting project financials and progress for utmost transparency.

Qualifications:

• Solid background in the Construction or HVAC-R industry.
• Associate’s degree or higher
• Proven expertise in time management and multitasking, with an ability to navigate tight deadlines.
• Strong communication skills to effectively liaise with a diverse workforce.
• A meticulous attention to detail and adaptability to evolving project requirements.
• Proficiency in the Microsoft Office suite, Excel and Adobe Acrobat.

Employment Type: Full-Time, In-Office

Schedule: Monday to Friday, 7:30 AM - 4:00 PM
