AirLoom Energy is a VC-backed wind energy start-up located in Laramie, WY that has developed a revolutionary wind capture system that produces the same amount of energy at a fraction of the cost of traditional wind turbines.
POSITION SUMMARY:
We are seeking an experienced, highly reliable team player to provide executive level administrative and financial support to our leadership team and company. This position reports directly to the COO and requires a discrete individual who can deal with sensitive and proprietary matters in a mature manner. The right candidate will be personable, professional and flexible, with an interest in renewable energy generation. The position requires exceptional analytical skills as well as experience with administration, communication, bookkeeping and internal/external relations. This person should also be a team player, have exceptional organizational skills, high ethical standards, and have experience carrying out multiple projects while prioritizing tasks. You will be an integral component of our team with room for growth and exposure to a variety of industries and stakeholders.
KEY DUTIES & RESPONSIBILITIES:
Executive Administration
· Provide administrative support for Executive Team as needed
· Maintain assigned calendars
· Coordinate and schedule meetings, conference calls and other events
· Plan and book travel and accommodations for company associates as required
· Manage and set up logistics for internal, external events and meetings
· Communicate with customers and vendors
· Maintain office operations, ordering supplies, materials, equipment and services as needed
· Manage other projects as assigned
Bookkeeping
· Track receipts for reimbursement and credit card transactions
· Maintain financial database in QuickBooks Online
· Allocate funds to appropriate accounts per grant agreement restrictions
· Maintain financial documents for investor and grant reporting and submittal
· Filing – paper and electronic documents
· Work with financial team to generate and review financial statements
· Assist and support financial team in creation and execution of annual budget
· Track licenses, contracts, and memberships, maintain renewals
Human Resources
· Administer onboarding process and background checks
· Coordinate required employee training including cybersecurity, safety training and filing employee certificates
· Manage on- and off-boarding duties such as issuing keys and office hardware
· Maintain employee files
· Review and submit bi-monthly timesheets for payroll
· Review and submit monthly mileage and reimbursement sheets;
· Track employee PTO accruals and reconcile with payroll
· Oversee employee and organization insurance contracts
· Support other benefits administration as needed
Operations
Board of Directors / Board of Advisors
· Send meeting agenda out with attachments
· Maintain digital files of meeting minutes in Carta
Investor Relations
· Work with COO to track and ensure compliance with all requirements as outlined in investor agreements
· Support COO in responding to investor requests in timely fashion
Grants
· Maintain grant files according as outlined in the grant and established procedures
· Aid with the creation of grant and/or program specific budgets
· Send thank you cards and letters per best practices to grant funders
Social Media / Hubspot
· Maintain contact lists in Hubspot based on interaction type
· Update social media accounts
· Assist in PR and communications efforts as needed
Events
· Support team during all stages of event planning and execution
QUALIFICATIONS:
· A minimum of five years of experience in a high level administrative role required
· A minimum of three years of experience with basic bookkeeping
· Bachelor’s degree or equivalent experience in appropriate field preferred
· Must possess excellent organizational skills with the ability to prioritize tasks and anticipate needs
· Outstanding written and verbal communication skills
· Demonstrated ability to compose correspondence and content materials which often require an understanding of specific subject matter, company standards and/or procedural guidelines
· Ability to work well under tight deadlines and respond to rapidly changing demands and fulfill efficient follow-ups
· Demonstrated proficiency in Microsoft Office and QuickBooks
· Facility with social media and CRM systems preferred
· Basic graphic design skills a plus
SALARY AND BENEFITS
· Competitive salary commensurate with experience, with range of $65,000 - $75,000
· Benefits package including medical, dental, vision, disability, life; paid time-off
COMPANY LOCATION
AirLoom Energy is located in a 13,000 sq. ft. Class A office and manufacturing building with expansive views adjacent to the Laramie Airport. The company is in the process of designing and building an outdoor 1 MW wind device in Laramie that will validate its power curve and costs.
