Job Description: The Operations/Office Manager will play a critical role in ensuring the smooth and efficient operation of the medical spa. This role requires a hands-on approach to managing daily activities, coordinating staff, and optimizing client experiences. The ideal candidate will have a strong background in office management, preferably within a healthcare or spa setting, and be passionate about delivering exceptional customer service.

Key Responsibilities:

• Oversee daily operations of the medical spa, ensuring a seamless workflow and superior client experience.
• Manage the front desk operations, including client scheduling, billing, and customer service.
• Supervise and coordinate the activities of administrative and clinical staff, ensuring all team members are aligned with the spa’s goals and objectives.
• Implement and monitor standard operating procedures (SOPs) to maintain high standards of service delivery.
• Manage inventory, including ordering supplies and ensuring stock levels are maintained.
• Coordinate with vendors and service providers to ensure timely and cost-effective procurement of supplies and services.
• Oversee financial operations including budgeting, payroll, and expense management.
• Ensure compliance with all regulatory and legal requirements related to medical spa operations.
• Address client inquiries, concerns, and feedback to continuously improve service quality.
• Develop and implement marketing strategies in collaboration with the marketing team to promote services and attract new clients.
• Prepare and present regular reports on operational performance to senior management.

Qualifications:

• Bachelor’s degree in Business Administration, Healthcare Management, or a related field preferred.
• Minimum of 3-5 years of experience in office management, preferably in a healthcare or spa setting.
• Strong leadership and team management skills.
• Excellent organizational and multitasking abilities.
• Proficiency in office software (e.g., Microsoft Office Suite) and experience with scheduling and billing software.
• Outstanding communication and interpersonal skills.
• Knowledge of regulatory compliance in the healthcare industry is a plus.
• Ability to work flexible hours, including some evenings and weekends as required.
