    Principal Purpose of Job: The Coordinator, Meetings and Special Events is responsible for assisting the Meetings and Special Events department in various support and administrative tasks.

    Essential Duties and Responsibilities:

    • Receives incoming group/event turnovers, tracks in Sales & Catering system and routes to assigned managers. 
    • Database management including preparation of weekly distribution of BEOs, Group Resume, two-week Schedule of Events, and meeting room diagrams
    • Maintains the BEO and Group Resume Master Books and updates all BEO/Group Resume revisions and pop-ups.
    • Sends and walks revised and pop-up BEOs daily.
    • Book/manage group activities for the Meetings and Special Events team.
    • Is responsible for internal meetings and events.
    • Maintains group/event assignment calendar.
    • Possess current, up-to-date knowledge pertaining to all DTR, VCI and Trailhead Inn products and offerings.
    • Manages office supplies and guest amenities including ordering and inventory.
    • Coordinates welcome amenities.
    • Supports Meetings and Special Events team with "day of" coordination as required.
    • Attends and takes notes at all BEO and Group Resume Meetings.
    • Manages shipping and receiving for the Meetings and Special Events department.

    Knowledge, Skills, and Abilities:


    Personal Attributes:

    • Outgoing, personable, friendly with the ability to be coached.
    • Extremely strong attention to detail.
    • Adaptability, capable of multi-tasking.


    Physical Demands:

    • This position will required to lift to 25 pounds.
    • Ability to work a flexible schedule including evenings/weekends/holidays as required.


    Education/Experience:

    • College degree
    • 2 years of administrative related experience; hospitality experience preferred.


    Special Skills/Equipment:

    • Strong computer skills including strong working knowledge of Microsoft Office Suite, Adobe Acrobat and other standard software.
    • Must have strong organizational skills both written and verbal.
    • Property Management System experience preferred.
    • Superior follow-up skills.
    • Valid CO Driver's License and clean driving record.
