ADMIN BACKGROUND COORDINATOR - BILINGUAL (SPANISH)

    SUPERVISES: N/A


    WORKING HOURS:

    This is an hourly position. The incumbent is expected to work normal business hours but must be flexible and available to occasionally work early mornings, evenings or weekends to meet the needs of the business.


    SUMMARY:

    Provides administrative support to the Licensing Department.


    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    1. Receives routing slips and distribute appropriate applications to new applicants and potential vendors.
    2. Review employee applications; communicate with applicants to ensure application is complete and required documentation are provide prior to intake.
    3. Distribute renewal applications to employees and vendors on a monthly basis.
    4. Assists with processing applicant fingerprints in Livescan computerized fingerprint system.
    5. Assists with providing proper Casino Proximity Card access controls to employees.
    6. Assists with creating and distribute badges for all entities including Tribal ID's.
    7. Assists with scheduling for badge pickups and deadlines.
    8. Assists with preparing files for Investigators.
    9. Conduct new hire orientations for Gaming Commission explaining the licensing process and reporting requirements.
    10. Receives new/renewing vendor applications, ensuring they are complete and distributes them to the investigators.
    11. Process Key employee information/applications to Team Members and the Department of Justice/Bureau of Gambling Control Commission as instructed by Licensing Manager.
    12. Process necessary paperwork to the NIGC regarding submissions.
    13. Data entry using computerized system.
    14. Maintain records management and filing system for employees and vendors.
    15. Prepare files, attend and take minutes of license appeal hearings and investigative interviews; summarizes and types minutes of meetings and distributes minutes to appropriate personnel; Arranges conference rooms and required equipment for all appeal hearings.
    16. Close termed employee and vendor files. Removes all termed employees promptly from Synergis access system.
    17. Archives all departmental records.
    18. Cross-trained in all positions of the licensing department.
    19. Abides by all Commission confidentiality and other policies and procedures.
    20. Acts as a role model and always present oneself as a credit to Dry Creek Gaming Commission and encourages others to do the same.
    21. Meets the attendance guidelines of the job and adheres to regulatory, department and company policies and procedures.
    22. Attends all required meetings and training.
    23. Maintains confidentiality at all times.
    24. Performs other duties as assigned.

    SUPERVISORY RESPONSIBILITIES:

    No supervisory responsibilities for this position.


    QUALIFICATIONS:

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required.

    1. Bilingual in Spanish Required
    2. Minimum of two (2) years prior administrative experience required.
    3. Must have excellent PC skills and working knowledge of Windows based applications including MS-Office (Word, Excel), MS-Outlook and Adobe Acrobat;
    4. Must have experience working with highly confidential information.
    5. Must be able to handle multiple priorities simultaneously, establish and meet deadlines.
    6. Must be able to work under extreme pressure.
    7. Must be able to work independently with minimal supervision.
    8. Must be able to get along with co-workers and work as a team.
    9. Must present a professional appearance at all times.
    10. Must be able to maintain a high degree of confidentiality with respect to all matters pertaining to the gaming enterprise business.

    EDUCATION:

    1. High School Diploma or equivalent GED required.

    LANGUAGE SKILLS:

    1. Must be able to read, write, speak and understand English.
    2. Excellent oral and written communication skills are important to the successful conduct of this position.
    3. Ability to write accurate, grammatically correct, polished reports and business correspondence.
    4. Must be able to speak with the public in a professional manner.

    MATHEMATICAL SKILLS:

    1. Ability to add, subtract, multiply, and divide in all units of measure.

    REASONING ABILITY:

    1. Ability to proactively streamline processes for company's return on investment.
    2. Ability to define problems, collect data, establish facts, and draw valid conclusions.
    3. Ability to interpret an extensive variety of instructions furnished in written, oral, diagram or schedule form.

    LICENSES, CERTIFICATES, REGISTRATIONS:

    1. Must possess a valid California Driver's License with a clean driving record.
    2. Notary Public license preferred.
    3. Must be able to obtain a gaming license from the Dry Creek Gaming Commission.

    PHYSICAL DEMANDS:

    1. Must be able to sit and/or stand for extended periods of time.
    2. Must be able to lift and carry up to twenty five (25) pounds.
    3. Must be able to respond to visual and aural cues.
