Job Title: Chief of Staff to the President
Job Summary:
We are seeking an experienced and highly organized Chief of Staff to provide comprehensive administrative support to our President. The ideal candidate will be a proactive and detail-oriented professional with a proven track record of successfully managing executive-level responsibilities. This role requires exceptional organizational and communication skills, discretion in handling sensitive information, and the ability to anticipate the needs of the executive to ensure seamless workflow.
The executive is looking for his right hand person that can allow him to focus on his zone of genius while you handle the day to day tasks of supporting him. The right person will be able to stand in for the executive on key meetings, negotiate on behalf of the executive and be an overall representation of the executive and the company to clients, investors, and business partners.
This is a position that has the potential for growth within the organization.
The position will be mostly remote, but some in person meetings will be required.
Responsibilities:
- Calendar Management:
- Efficiently manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Anticipate and resolve scheduling conflicts, ensuring optimal use of the executive's time.
- Travel Coordination:
- Arrange and coordinate all aspects of domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Prepare travel expense reports and ensure timely reimbursement.
- Communication and Liaison:
- Serve as the primary point of contact for internal and external stakeholders, exercising professionalism and diplomacy.
- Manage and prioritize incoming communications, including emails, phone calls, and written correspondence.
- Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and integrity.
- Maintain a high level of confidentiality in all interactions and communications.
- Documentation and Reporting:
- Prepare, edit, and proofread reports, presentations, and other business documents.
- Compile and organize information for executive decision-making.
- Project Management:
- Assist in managing special projects as assigned, ensuring timely completion and adherence to objectives.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field.
- Proven experience as an Executive Assistant supporting C-level executives.
- Exceptional organizational and time management skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Ability to handle multiple tasks and priorities in a fast-paced environment.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving skills and attention to detail.
Requirements
- Located in the Houston area. Most work will be remote but may need to meet in person with the executive
- Willing to be available as needed on evenings and weekends
- Has the ability to travel with the executive both domestic and international
Job Type: Full-time
Pay: From $30.00 per hour
Expected hours: 30 – 45 per week
