  • Goldberg Segalla, a dynamic and rapidly growing law firm with a national practice, seeks a highly motivated and organized individual to join its team as a Records Clerk/Office Services Coordinator in its office located in Syracuse, NY. This is a full-time position that requires you to work in the office five days a week.

    The hourly salary range for this position is $19.00 to $20.00. Actual pay may be adjusted based on experience and other job-related factors permitted by law.

    Job Description:
    Records Clerk :
    • Receives incoming legal documents and facilitates scanning based on priority.
    • Reviews scanned records, identifying essential deadlines and information to be noted by attorneys.
    • Assigns naming based on firmwide conventions and organizes records in the Document Management System according to classification standards.
    • Electronically saves scanned records, filing documents under their respective client and matter numbers.
    • Manages filing system by shifting, indexing and closing files when necessary.
    • Gather and send interoffice mail.
    • Aids attorneys and legal staff with all necessary copying, scanning, faxing, and other miscellaneous administrative duties.
    • Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files.
    • All other duties as assigned.
    Office Services/Facilities:
    • Maintain and order supplies.
    • Keep supply and mail rooms neat and organized.
    • Call for service if copy machines are out of order.
    • Call building maintenance when needed.
    • Ensure proper appearance of office space, including conference rooms and visiting attorney offices.
    • Overall oversight of supplies, kitchen, printer, copier, mail, reception and conference areas (cleanliness, organized, marketing material displays).
    • May be required to assist IT from time to time.
    • Set up video conference for meetings, depositions, etc.
    • Set up new hires (computer, supplies, etc.) and conduct welcome tour.
    • Train new employees on office services equipment.
    • Request building cards or keys.
    • Reorganize offices and workstations of departed employees.
    • Manage office petty cash (to include reconcile and replenish).
    • Organize office parties and firm-wide events.
    • Coordinate with Accounting for emergency check requests.
    • Coordinate with Iron Mountain regarding file storage needs.
    • Distribute paychecks and reimbursement checks.
    • Coordinate furniture requests with the Firm Leadership.
    • Collaborate with all administrative depts. to address local needs/issues.
    • Contact Director of HR, Facilities and Records with any employee issues.
    • All other duties as assigned.
    Requirements/Skills:
    • One year of previous law office experience preferred
    • Strong attention to detail
    • Basic personal computer skills and ability to understand and use firm software
    • Ability to work well under pressure, a professional demeanor, excellent judgment, superior communication skills, written and verbal, and strong client service skills
    • Strong analytical and problem-solving skills; ability to organize and prioritize multiple assignments, use initiative and judgment to accomplish results, and complete job assignments in an accurate and timely manner
    • Ability to work within a team environment
    • The ideal candidate should be motivated with the goal of becoming a long term asset within the organization

    Educational Requirements:
    • Associate’s degree or equivalent legal support experience
