ADMINISTRATIVE ASSISTANT TO THE ASSISTANT SUPERINTENDENT
OF ACADEMICS AND STUDENT AFFAIRS
JOB PURPOSE
The Administrative Assistant provides high-level administrative support to the Assistant Superintendent of Academics and Student Affairs. This role involves managing daily operations, coordinating communications, scheduling meetings, and assisting in the execution of various academic and student-related initiatives. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks in a fast-paced educational environment.
ESSENTIAL JOB FUNCTIONS
Administrative Assistant may be assigned to a specific department and may perform specialized duties as assigned. In general, duties will include:
Administrative Support:
Manage the Assistant Superintendent's calendar, schedule appointments, and organize meetings.
Prepare meeting agendas, take minutes, and distribute relevant materials.
Handle correspondence, including emails, phone calls, and letters, ensuring timely responses and proper follow-up.
Draft and proofread reports, presentations, and other documents as required.
Maintain and organize files, records, and documentation in both physical and digital formats.
Coordination and Communication:
Serve as a liaison between the Assistant Superintendent and other departments, staff, parents, and external stakeholders.
Coordinate communication and ensure timely dissemination of information to relevant parties.
Assist in organizing and coordinating special events, workshops, and training sessions related to academic and student affairs.
Project Management:
Assist in planning and executing projects related to academic programs, student services, and other educational initiatives.
Monitor project timelines, track progress, and ensure tasks are completed within established deadlines.
Compile data and prepare reports to support decision-making processes.
Office Management:
Order and maintain office supplies, ensuring the office operates smoothly.
Coordinate travel arrangements and process travel reimbursements for the Assistant Superintendent.
Manage the budget for administrative expenses, including processing invoices and tracking expenditures.
Confidentiality and Professionalism:
Handle sensitive and confidential information with discretion.
Maintain a professional and welcoming demeanor in all interactions.
QUALIFICATIONS
Requires a high school diploma or GED equivalent supplemented by one to two years of responsible secretarial experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Must be able to type with speed and accuracy. Must possess a valid state driver’s license.
Experience:
Minimum of 3-5 years of experience in an administrative support role, preferably within an educational setting.
Experience in project management or supporting executive-level staff is a plus.
Skills:
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Ability to work independently and collaboratively in a team environment.
Strong attention to detail and problem-solving skills.
Other Requirements:
Understanding of the educational system and familiarity with academic and student affairs processes is an advantage.
Ability to adapt to changing priorities and handle stressful situations effectively.
Working Conditions:
Full-time position, typically Monday through Friday during standard office hours.
Occasional evening or weekend work may be required for special events or meetings.
This role is pivotal in ensuring that the Assistant Superintendent of Academics and Student Affairs can effectively lead and manage academic programs and student services, contributing to the overall success of the educational institution.
