    Job Summary

    The Assistant Director for Facilities supports the Senior Associate Director of Facilities and Operations of the Illini Union by planning, directing, developing, and coordinating overall facility and fleet management operational functions of the Illini Union and its various facilities. The position is responsible for all aspects of physical plant for facilities including mechanical systems, HVAC, electrical, plumbing, etc.

    Duties & Responsibilities

    • Engage in both short and long-range planning to ensure that Illini Union facilities are properly maintained and can support continuous activity
    • Prepare budget related to labor, utilities, equipment, materials, supplies, and other costs associated with maintenance of the Illini Union facilities.
    • Review monthly balance statements and provide a variance report and make necessary changes to ensure that assets are maintained within the scope of available resources.
    • Direct the overall effort of Building Service team, Building Operating Engineers team, and all maintenance staff assigned to the Illini Union from F&S or from private vendors in the overall facility maintenance, upkeep, and upgrade of the Illini Union.
    • Monitor and catalog the location and status of all inventories assigned to the Illini Union and its facilities.
    • Maintain the entire physical plant for each Illini Union facility, including mechanical. electrical and plumbing systems. HVAC, telephone as well as security camera recording devices to ensure the security of the Illini Union and its facilities; distribute and account for all keys.
    • Maintain accurate blueprints and other detail drawings of Illini Union facilities and provides such information on request to facilitate building maintenance.
    • Coordinate all renovation, remodeling, and capital project construction with Illini Union facilities, and serve as liaison between the Illini Union organization and Facility Planning 8 Management, the Office of Capital Programs, and various contractors and subcontractors.
    • Coordinate the purchase of equipment, supplies, and services related to building maintenance, ensuring compliance with all purchasing and other University or Illini Union policies and procedures.
    • Ensure Illini Union compliance with safety codes, ADA requirements, and other policy, procedure, regulation, statute and/or law relating to the operation of a major, public facility.
    • Comply with all collective bargaining agreements that relate to building operations and maintenance and handle any discipline or grievance issues that may arise.
    • Make recommendations to the Senior Associate Director on potential renovations, remodeling, and projects that would enhance Union facilities.
    • Communicate on a regular and timely basis with Illini Union department managers. tenant organizations, and other users regarding any service interruptions or other issues that could potentially affect our service delivery.
    • Perform other related duties as assigned.

    Additional Physical Demands
    • Position required a great deal of mobility: checking on room set-ups, overseeing operations, etc., throughout the building.
    • Work is done anywhere throughout and around facilities, including work areas and construction sites which may result in occasional hazardous and uncomfortable environments, ranging also from mechanical rooms to offices.


    Minimum Qualifications

    High School Diploma or equivalent.
    Any one or combination totaling three (3) years (36 months) from the categories below:
    college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
    60 semester hours or an Associate’s Degree equals one (1) year (12 months)
    training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

    Preferred Qualifications

    • Master’s degree in engineering, architecture, business administration, construction management or related field is preferred.
    • Proficiency in AutoCAD, Revit, or other 2D/3D computer aided design software.
    • Experience in facilities and/or operations in a higher education setting.
    • Experience in managing equipment maintenance programs.
    • Experience working with collective bargaining units’ staff is preferred.

    Knowledge, Skills and Abilities

    • Must have excellent leadership and customer service skills.
    • Must have solid knowledge and experience with building systems, facility maintenance, and construction trades.
    • Excellent organizational, communication, and project management skills

    Appointment Information
    This is a 100% full-time Civil Service 2378 - Facility Operations Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after 11/1/2022. Salary is commensurate with experience.
