  • Job Summary:
    Assists with the data management function of the Institute for Workforce Education, (a division of St. Augustine College) ensuring that course, client, and student data is properly secured, entered, checked, and reported. Issues course reports, student certificates, and other credentials, and creates course audit files.

    Summary of Essential Job Duties:
    1. Receives course paperwork for courses that were delivered at various client and partner facilities or online, and audits the files to ensure accuracy, and notifies Project Managers about needed corrections.

    2. Works with Project Managers to ensure course paperwork issues are addressed in a timely manner.

    3. Enters instructor, student, course, assessment, and evaluation data in IWE’s database and proprietary grantor applications.

    4. Issues training reports after each class is delivered.

    5. Prepares course audit files after completing an audit of the course file.

    6. Maintains customized training database for statistical and audit purposes using the college’s and proprietary grantor applications.

    7. Issues certificates and other credentials for students.

    8. Mails/e-mails out training reports and certificates to clients and files training reports for audit purposes.

    9. Supports Assistant Manager and Manager with administrative aspects of the Support Services Department.

    10. Performs other duties as assigned.

    Minimum Requirements:
    1. Associate’s degree in Business Administration, education, or general studies with a minimum of 2 years of business office experience, preferably in an educational environment.

    2. Basic knowledge of grants preferred.

    3. Basic to advanced skills in Microsoft Word, Excel, Outlook, and SharePoint.

    4. Ability to multi-task in a very fast-paced environment.

    5. Self-directed, organized, and innovative with a well-developed sense of customer service and professionalism.

    6. Sensitivity to socially and ethnically diverse communities.

    7. Exceptional written and verbal communication skills. Bilingual (English and Spanish) preferred.
