Position Summary: Operate switchboard to connect incoming calls to the appropriate department with professional courtesy to office callers and visitors, provide administrative secretarial assistance to ensure timely transmittal or processing of information, efficient organization of department data and assist with preparation of confidential documents.
Essential Duties:
1. Direct incoming calls to appropriate department; listen to caller to determine the party they need to reach, provide routine information, take messages, announce if the line is busy and ask whether the party would like to hold, check back to connect the caller when the line is free; keep records of long distance calls; operate paging system to locate persons.
2. Receive visitors and from door deliveries; announce visitors to appropriate party; place deliveries in department mail box or contact proper person to announce delivery; log incoming deliveries.
3. Perform general office duties; sort mail, photocopy for departments, distribute hand outs; file and retrieve documents, order resident supplies, assist Business Office or Administration with routine work.
4. Collect funds and issue receipt for money or check received for deposit into resident accounts during hours the business office is closed; maintain contact with Schuylkill County Communication Center to ensure the appropriate workings of the emergency systems.
5. Types administrative and confidential documents to assist the Administrator; type letters, memos, contract, management reports; assist with preparation of special projects, e.g. update of program manuals, policies and procedures; screen calls into office, take messages, initiate calls to obtain or transmit information for Administrator.
6. Assist Business Office with preparation of account records; log in receipt of resident account monies and submit to Business Office for posting; keep petty cash log for monies received after normal Business Office hours.
7. File documents in administrative office files; insert documents to binders, files, and notebooks to update resource materials and policy manuals; set up files and prepare file folders; retrieve documents
8. Log incoming mail and inter-office mail
9. Provide back up to clerical staff; assist with general office duties, e.g. photocopy, operate office equipment, re-stock office and equipment supplies; arrange for building maintenance and repair
Qualifications:
Completion of a high school degree, knowledge of Microsoft Word, Excel, and PowerPoint
