Job Summary:
The Executive Administrative Assistant will provide administrative support to the Executive Management Team. Your daily responsibilities will include conducting research, preparing reports, entering data into our systems, and handling information requests. You will also perform clerical duties, such as preparing correspondence, receiving visitors, contract management, scheduling meetings, filing, and taking meeting minutes.
The ideal candidate is a detail- oriented self-starter who thrives in a fast-paced environment. Candidate must be a team player and eager to tackle new projects and ideas alongside our Executive team.
Responsibilities:
- Answers phone inquiries, directs calls to the proper department, and provides basic company information.
- Prepares reports, presentations, and data, as well as maintain files, records, and correspondence for meetings.
- Maintains confidential and sensitive information.
- Conducts research and compiles reports.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
- Takes memos, maintains files, and organizes, photocopies, faxes, and collates documents as needed.
- Assist with the successful completion of all company badging and licensing requirements including initial communication and follow up.
- Completion of company errands as needed.
- Retrieves and sort mail, including packages, by department and category. Delivers mail to correct department or recipient.
- Routinely perform a wide variety of support duties
- Maintain paper and electronic filing systems.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating PowerPoint presentations, spreadsheets, special reports, and agenda material.
- Handles inquiries from all parties, referring complex and/or sensitive matters to the appropriate staff.
- Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments.
- Perform internal audits to ensure compliance.
- Prepare & Distribute Internal employee communications.
- Helps with organization of employee events and engagement activities.
- Management of employee celebrations and swag program.
- Assists Director of HR with Hiring/Recruiting events as needed.
- Assist with all new hire onboarding and new hire orientation preparation.
- Assisting Human Resources with any assigned task.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Requirements of the Role:
- Knowledge of human resources a plus.
- Proficient with Microsoft Office Suite or related software.
- Outstanding communication and interpersonal skills
- Excellent verbal and written communication skills.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 35 pounds at times.
