    Job Summary:
    Job incumbent will provide general office support with a variety of clerical activities and related tasks. The Administrative Assistant is responsible for maintaining the day to day tasks of the department.

    Adhere to the TCC Ch'eghwtsen' model of service and guiding principle which requires providing timely and effective service along with the ability to interact with others in a way that inspires trust and demonstrates respect, compassion and empathy.


    Essential Functions

    Representative Duties:
    Under the direct supervision of the Executive Coordinator, job incumbent:

    1. Provides clerical support to the Executive Coordinator, which includes retrieving and and grant records, assist in maintaining records and, grants, purchase requests and travel authorizations, preparing reports, booklets, pamphlets and manuals, taking minutes, and scanning documents as needed.

    2. Ensures and maintains strict confidentiality of all documents, contracts, records and any content of confidential discussions.

    3. Assists the Executive Coordinator with large company event preparation and set up, such as the Christmas Party, Employee Picnic, TCC Convention, TCC Executive Board Meetings and others as directed.

    4. Under direction of the Executive Coordinator or Chief Chairman, acts as backup for the Receptionist position, including other similar positions in the TCC organization to fulfill those duties in order to keep the department running smoothly.

    5. Provides clerical/administrative support for special projects, other programs, divisions, or departments as directed.

    6. Review and edit formal documents as required.

    7. Agiloft Grants Module Software Administrator:

    a) Work closely and coordinate efforts with TCC departments/staff within the implementation of Agiloft Granting Approval Process Module specially: IT, Accounting and the Legal department to complete this project on time.

    b) Work closely with IT to maintain the software and any changes or adjustments needed.

    c) This position will have the responsibility of being the point of contact (POC) with Agiloft for this module/contract, and will form a positive working relationship with the company.

    d) POC for TCC staff members as they navigate the new software system.

    e) Provide/organize group trainings.

    f) Field TCC staff questions.

    g) Walk staff members through individualized trainings for those who are struggling with the new system.

    8. Must be flexible and available to Tanana Chiefs Conference scheduling needs. Must be able to work overtime, evenings, weekends and travel, at times with very little notice.

    Other Responsibilities:

    1. Perform other duties as assigned.

    2. Attends staff meeting as required.


    Minimum Qualifications



    Minimum Qualifications:

    1. High school diploma or GED equivalent.

    2. Three years clerical experience with the ability to operate standard office equipment.

    3. Ability to operate ShoreTel switchboard preferred.

    4. Computer experience using the Microsoft programs, Adobe Acrobat Pro and database systems. Ability to efficiently use and manipulate Excel spreadsheets.

    5. Valid Alaska Driver’s License with clean driving record and remain insurable under TCC insurance policy.

    6. Must pass background check pursuant to federal Indian Child Protection and Family Violence Prevention Act requirements.

    7. Must be able to operate standard office equipment and type 45 WPM.

    8. Must be organized with the ability to prioritize and manage time effectively. Manage multiple assignments and tasks. Ability to balance regular workload while coordinating time sensitive situations.

    9. Must maintain strict confidentiality.

    10. Ability to adapt to an ever changing, high tempo, often stressful, fast-paced work environment.

    Supervision:
    This position does not have any supervisory responsibility.

    Physical demands: Travel will be required to remote AK villages, including out of state travel as required. Job incumbent must be able to physically travel by small aircraft, vehicle and boat, at times on short notice. May be exposed to certain conditions including, but not limited to: lack of running water, poor heat, sleeping on floors, and exposure to adverse weather. Extended hours will be required. Additional requirements are those of normal office type work with extended hours of sitting and operation of standard office and computer equipment. Position requires recurring bending, stooping, kneeling, reaching, and stretching. Work requires attention to detail and is subject to multiple deadlines. Incumbent must be able to work accurately and efficiently in a busy, ever-changing and often stressful environment. Job incumbent may be required at times to push, pull, lift and carry up to twenty (20) pounds

This position requires excellent interpersonal skills and incumbent is expected to work well with others. Must be able to work under minimal supervision. Must be reliable in attendance and punctuality. Must be flexible and available to Tanana Chiefs Conference scheduling needs. Job incumbent must have excellent phone etiquette and customer service.
