Description
Position Summary
This position is responsible for the overall administrative responsibilities for the CEO of the organization. Responsibilities are designed to relieve the CEO from administrative details. Handles all correspondence and meetings for Board of Directors.
General responsibilities
- Organizes and maintains Chief Executive Officers schedule and calendar.
- Establishes and revises meetings and appointments.
- Handles all CEO correspondence via telephone, computer email, letters, memos and face to face visitors, using independent discretion and judgment for responses.
- Prioritizes information according to importance and advises President/CEO of required action to be taken.
- Resolves problems, obtains information, and responds to inquiries or complaints in a manner requiring considerable knowledge about the Health Center's policies, procedures and operations.
- Composes and prepares correspondence, reports, and other materials which may involve the use of technical and/or medical terminology, analysis, and complex calculations tabulations.
- Takes and transcribes dictation from all executive meetings, Board of Directors Meetings and committees, as well as other committees as assigned.
- Prepares all financial reports for CEO related to administrative tasks, including financial reimbursement vouchers, detailed reports.
- Confirms and prepares reports for charges incurred by CEO and other administrative staff. Submits vouchers for payment.
- Schedules all conference and meeting attendance for the CEO, both locally and outside of the community. This includes completing all travel arrangements, which includes reservations, confirming travel and lodging arrangements, and preparing itinerary.
- Maintains and keeps up to date the established Health Center's institutional file for all administrative documents required for accreditation, grants, policies and procedures, manuals and other appropriate files and confidential records of Health Center.
- Coordinates all monthly Board of Director and committee meetings, which includes scheduling, mailing of minutes, ordering and purchasing food, and transcribe minutes.
- Handles all Board correspondence, internal and external, and ensures board information is provided within the assigned time as identified in committee and bylaws.
- Coordinates information for federal reports; performs data entry into databases as required for completion of reporting requirements.
- Handles all travel and conference arrangements/reimbursements for CEO.
- Performs other duties as assigned.
Qualifications
Education and/or Experience
- Associates degree in clerical or administrative field.
- Minimum of three (3) years experience in the performance of high-level executive administrative work.
- Bachelors degree preferred.
OR
- An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.
