Executive Operations Assistant

  • We are looking for a high-level motivated, enthusiastic Executive Assistant to support the CEO of Maestas Development Group. This exceptional candidate must be willing to go above and beyond in all situations and be expected to be the right-hand man/woman to the CEO. This person will thrive in fast-paced environments and be comfortable with feedback and growth opportunities. The ideal candidate will relish the opportunity to take on greater responsibilities and will be eager to demonstrate their ability to push the owner closer to achieving their goals.

    Compensation:

    • Salary Range: $55,000 - $65,000
    • 3 Weeks Paid Time Off
    • Hybrid Work Option After 120 Days

    Compensation:

    Responsibilities:

    • Lead operational projects, conduct research, and prepare briefings and presentations on topics relevant to the CEO and Company.
    • Manage the CEO’s schedule, and coordinate logistics for events and meetings, including arranging catering and audio/visual equipment.
    • Serve as the first point of contact for external stakeholders, managing inquiries and correspondence including management of email traffic.
    • Handle confidential and sensitive information with discretion and professionalism.
    • Representing the CEO with professionalism and utilizing exceptional critical thinking and emotional intelligence in various conversations and interactions.
    • Anticipate the needs and priorities of the CEO and proactively take action to ensure productivity and success.
    • Be prompt and responsive to calendar requests. When priorities change quickly, respectfully communicate to those affected and seamlessly move meetings. Quickly move on to scheduling important engagements and politely decline or delegate invitations when appropriate.
    • Screen and direct phone calls.
    • Handle requests and queries appropriately.
    • Manage deadlines and relationships with clients.
    • Organize and systemize physical and digital file systems.
    • Help/assist with marketing and social media tasks.

    Qualifications:

    • Bachelor’s degree in a relevant field or equivalent work experience.
    • At least 5 years of experience as an executive assistant or in a similar role supporting a high-level executive.
    • Possess strong critical thinking abilities.
    • Organization skills, meticulous attention to detail, and a history of taking ownership of multiple projects, duties, and assignments – with a commitment to excellence in all areas of the role.
    • Strong written and verbal communication skills.
    • Ability to multitask and prioritize effectively in a fast-paced environment.
    • Proficiency in Microsoft Office and other relevant software.
    • Proactive; following up on open items, anticipating issues, and closing loops on pending requests.
    • Critical thinker, able to anticipate needs, pivot quickly, and proactively address challenges.
