JOB SUMMARY
Under the general supervision of the Senior Director of Science Development, the incumbent independently performs a wide variety of development-related activities, including donor stewardship, coordinating development meetings, events, and activities, gift acceptance, and communications (including developing presentations and collateral and website management). The incumbent also performs financial and data management, team support, and office management. Handles sensitive documents and information that require complex problem solving, confidentiality, and discretion with minimal supervision. Proactively and readily assumes ownership for the execution of all responsibilities and duties associated with the role. Develops and utilizes advanced knowledge of university infrastructure, and independently interprets campus and UC Office of the President policies and procedures.
This position requires the ability to work on campus, with the possibility of remote work a few days per week once training is complete.

APPOINTMENT INFORMATION
Budgeted Salary: $26.12 - $29.99/hour. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
50% - Development activities, stewardship, and gift acceptance
- Donor stewardship: pull and distribute weekly gift reports to development directors and departments; enter confidential contact reports into the CRM; draft dean's and directors's thank-yous; develop and oversee annual donor stewardship calendar; prepare donor stewardship materials such as student and project profiles for review and distribution by the gift officers; work with events coordinator to organize stewardship meetings and events; prepare thank-you packages to mail to donors; prepare annual holiday card list and ensure cards are signed and mailed; manage biographical data in our CRM following appropriate protocol
- Coordinating development activities: organize the science dean's council, including the roster, meeting minutes, business correspondence, mailed materials, mailing recipient lists, policies, and guidelines; coordinate our division's activities on campus-wide appeals such as Giving Day to ensure they run smoothly; work with the events team on significant events that intersect with the development office; develop and coordinate mailing lists and guest lists; manage special projects as assigned by the directors; conduct research and analysis as assigned by the directors; using high-level judgment, gather and evaluate data in order to provide recommendations or options to the directors
- Gift acceptance: prepare gift notification forms; receive and process gifts, working with divisional research accountants and University Relations gift administration in designating gifts appropriately; prepare and route simple letters of gift; prepare and route non-monetary gift acceptance forms
- Communications: maintain and update the Science Division website sections related to the development staff, giving opportunities, and the dean's council and the intranet related to development processes; work with departments to ensure quality and branding of their alumni and donor communications; disseminate information to faculty and students regarding requests for proposals, invitations for applications for fellowships, and other funding opportunities
35% - Financial and data management
- Data management: develop and maintain filing and tracking systems and computerized data systems for pertinent projects, solicitations, and constituents; make recommendations for enhancement of established systems and introduction of new systems; maintain process documents for key activities for the purpose of training and continuity
- Funds management: field requests about donor funds from departments, including setting up new gift funds, reporting on existing funds, and getting quick links for giving; organize annual endowment payout meetings with departments and communicate outcomes; track current use gift funds annually to ensure they are being spent; research and resolve complex gift-fund-related issues that may span different data systems, such as how a gift fund is named and represented in various places and how its use is represented and described in various places
- Financial: process financial requests, reimbursements, and purchasing; independently monitor office budget, verify monthly expenses, and resolve discrepancies; make recommendations to the director for annual budgeting process and draft the annual budget; suggest alternatives to help reduce expenditures and increase efficiency
10% - Team support and office management
- Scheduling and office oversight: manage the senior director's calendar and schedule meetings for all directors; schedule team meetings; make conference and travel arrangements; screen incoming communications and refer or independently resolve problems, provide information, take messages or redirect inquiries to other staff members; monitor, stock, and order office supplies, swag, new equipment, guest parking permits, etc.

REQUIRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience / training.
- Demonstrated successful and increasingly complex administrative experience.
- Experience using computers with speed and accuracy for word processing, spreadsheets, mail-merge, database record entry, electronic mail, and Internet searches, with ability and willingness to learn new systems and software programs.
- Experience in coordinating and scheduling logistics for small and large group meetings and events.
- Experience setting up and maintaining electronic filing systems.
- Excellent interpersonal skills with the ability to work with a myriad of people of differing temperaments, socioeconomic backgrounds, and political/ethical philosophies, and to be tactful, diplomatic, and attentive in personal contacts with donors, external constituencies, and university personnel.
- Excellent organizational, time management, and decision-making skills to prioritize work, meet deadlines for simultaneous projects, make decisions using independent judgment, and adapt to evolving priorities and goals.
- Excellent verbal communications skills, to effectively convey information to individuals at various organizational levels, both internally and externally.
- Excellent written communication skills, with the ability to compose clear, concise materials and correspondence or other materials, and edit for correct grammar, spelling, punctuation, and accurate proofreading.
- Knowledge of and/or the ability to learn the principles of fundraising and institutional advancement.
- Knowledge of and/or the ability to learn and apply comprehensive detailed knowledge of University policies and procedures, including the campus budgeting processes and its financial information systems.
- Ability to maintain the highest degree of sensitivity and confidentiality of donor information and discretion with regard to donor and personnel matters.
- Follow directions and pay strict attention to details and deadlines.
- Take a project from conception to completion with little supervision.
PREFERRED QUALIFICATIONS
- Proficiency with Banner and iModules (or similar) systems.
