Top Facilities Management Executive leads overall operations and develops the strategy and policies to deliver design, planning, implementation, construction, and maintenance of an organization's facilities and properties. Plans and allocates the capital, equipment, and operating budget to support current operations and long-term facility plans. Being a Top Facilities Management Executive ensures the reliability of all building mechanical, electrical, fire/life safety, plumbing, and waste management systems. Reviews and negotiates contract terms and conditions for contractors selected for facility projects and the delivery of services. Additionally, Top Facilities Management Executive establishes building operations policies, procedures, and service standards to comply with all local laws and regulations. May be responsible for additional facility-related functions like food services, security, safety, environmental, or administrative services. Requires a bachelor's degree. Typically reports to top management. The Top Facilities Management Executive manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments.     Job Requirements:
    • Safeguard hotel resources & assets and risk management assessments.
    • Coordinate and be the liaison with internal & external audits.
    • Commitment to follow all local and corporate policies and procedures as they relate to the position.
    • Work with integrity, confidentiality, and discretion.
    • Aptitude for maintaining accurate information related to files, internal hotel needs, as well as required forms.
    • Ensure compliance with PA Management policies and procedures and all applicable laws.
    • Monitor contracts with hotel’s vendors and certifications to ensure compliance.
    • Perform clerical duties such as typing correspondence and reports, filing, and answering phones.
    • Maintain Owner’s Calendar and remind as needed for important meetings.
    • Order and maintain office supplies.
    • Assist Owner in Traveling and day to day as needed.
    • Assure all incoming and outgoing correspondence is typed, received, mailed and/or filed as required.
    • Maintain a professional working environment and attitude.
    • Maintain adequate inventory of collateral material, office supplies, and cafeteria supplies.
    • Attend all required meetings.
    • Manage Owners financials and keep complete confidentiality.
    • Maintain adequate postage; post and mail all correspondence.
    • Compile monthly reports as requested.
    • Promptly read and respond to all correspondence via email on behalf of owner.
    • Take every opportunity to assist the Owners, Hotel, and General Manager as needed.
    • Any other responsibilities assigned by management.

    Educational Requirements:
    • A minimum of 5 years in a related field of being an executive assistant preferred.
    • Must be proficient in Word, Excel, Outlook email, and other applicable computer systems.
    • Must be proficient with technology.
    • Must be able to define problems, collect data, establish facts, and draw conclusions as needed.
    • Superior oral, written, and computer skills.

    • Demonstrate excellent interpersonal and communication skills with a focus on the details.
    • Conduct oneself in a professional manner at all times to reflect the high standards of the hotel.
    • Maintain a good working relationship with other associates, including the owner by promoting teamwork and fostering a harmonious working climate.
    • Highly organized and has the ability to plan multiple activities and meet deadlines with the ability to maintain a positive and professional demeanor at all times.
    • Partake in a positive work ethic and surrounding environment.
    • Able to work alone without direct supervision.
    • Demonstrate a high degree of drive and determination.
    • Keep the work area clean and tidy at all times.
    • Maintain complete knowledge of and comply with all departmental polices/service procedures/standards.
    • Assist with responsibilities and duties in other departments and as assigned by management.
    • Due to the cyclical nature of the hospitality industry, associates may be required to work varying schedules to reflect the business needs of the hotel.
