Top Global Ethics & Compliance Executive leads the overall development, direction, and promotion of the organization's global ethics and compliance function. Designs and develops programs to assess and manage legal and regulatory compliance risks and to establish high ethical standards of conduct for the organization. Being a Top Global Ethics & Compliance Executive ensures that policies reflect domestic and international legal requirements and industry-specific codes governing ethical standards and comply with transparency reporting requirements. Communicates the organization's ethical standards with messaging and delivers employee training programs that raise awareness about ethics-related topics such as Anti-Bribery, Anti-Corruption, Antitrust, Conflicts of Interest, and others. Additionally, Top Global Ethics & Compliance Executive monitors compliance with policies and investigates and remediates any non-compliant actions. Responsible for maintaining confidential reporting systems allowing employees, customers, contractors, and other stakeholders to disclose violations of the organization's ethical standards, violations of law, or policies without fear of retaliation. Requires a bachelor's degree in area of specialty. May require the Certified Compliance and Ethics Professional (CCEP)certification. Typically reports to top management. The Top Global Ethics & Compliance Executive manages a departmental function within a broader corporate function. Develops major goals to support broad functional objectives.     The Fetzer Institute is searching for our next community member to hold the role of Executive Assistant, supporting the work of our VP, Global Outreach and team. This position provides direct support to the Vice President of Global Outreach for personal administration as well as project assistance to the entire department which spans a wide range of functions: branding, communications, digital marketing, technology, events, grantmaking, and love for the entire global human family.

    An ideal candidate would enjoy administrative duties such as calendaring, reporting, and project management, but also have a passion for research, networking, and communications.     The Executive Assistant will work 40 hours per week, with a flexible schedule. Tuesday mornings from 9:00 AM – 12:00 PM will be a requirement, allowing this person to join our staff in our important culture work.

    The position is located in Kalamazoo, MI, but the VP is located in Los Angeles, CA. Therefore, the EA must be an experienced assistant who is self-directed and comfortable working independently. The EA will be required to travel to CA as needed throughout the year (not to exceed more than one week/month). This position pays $66,000 per year and is eligible for benefits including medical, dental, vision, prescription, 401k, and an extensive wellness package.

    Executive Support & Administration (50 percent total time)
    The VP of Global Outreach is a fast-paced, dynamic executive working across time zones. This EA role requires next-level detail-orientedness.
    • Calendaring and Meetings: Maintain the calendar for the VP and the department meetings, including scheduling meetings and appointments internally and externally. Coordinate and manage meeting logistics, locations, and documentation/recordings/notes. Facilitate meetings as needed (facilitation training can be provided).
    • Communications: Represent the VP through both written and verbal communications with staff, program partners, community and organizational leaders, and all others, extending a high level of hospitality to all individuals. Manage the design, creation, and editing of VP’s PowerPoint presentations. Draft and respond to emails as directed.
    • Travel and Meeting Coordination: Plan and manage VP travel including scheduling travel arrangements, conference calls, monitoring agreement reporting and payments, and preparing meeting/conference prep notes and travel itineraries.
    • Reporting: Generate monthly expense reports and submit organizational forms. Approve time off requests, timesheets, and resource requests. Log external interactions into the preferred database. Compose weekly report to VP of need-to-know activities, deadlines, and questions.
    • California Office Management: Serve as the point person to manage the new, three-suite California office space including: supplies, janitorial, utilities, upkeep, mail, décor, booking systems, meeting catering, hospitality, and brand experience. Travel to California up to one week per month.
    • Relational Support: Serve as the “bridge” person in relationships between CA office and MI office staff. Serve on community committees as jointly beneficial to VP and EA.
    Departmental Support & Growth (35 percent time)
    As a new department, we’re asking a lot of new questions, and your growth will be nurtured through opportunities to help us set up new systems and problem-solve in innovative ways.
    • Data Management and Email: Coordinate the department’s file management and learning system on shared drives. Train on the marketing automation module in the database for basic email segmentation, sending, and reporting. Basic training on Google Analytics.
    • Problem-Solving, Research, Technology: Get curious by researching best practices, methods of working, and tools for productivity. Where should our department be modernizing, optimizing, or doubling down?
    • Networking: Map and maintain a strategic plan for networking, connecting, and building relationships in our professional field. What are others in our field doing? Who should we be connected to? What conferences should we be speaking at?
    • Project Management: The department has multiple work streams and outside vendors all living inside of it. We use Monday.com as our project management system, and the EA must become a power user. How do we make this tool work best to support our team?
    • Tracking, Reflecting, Refining: Track and create reporting and analysis of departmental projects and goals. Organize evaluation and reflection time and help develop refinement solutions to emergent opportunities. How will we be held accountable for the impact we’re trying to create?
    Learning & Community (15 percent time)
    Fetzer aims to “be” the change we want to see in the world. Therefore, every community member is expected to have a commitment to nurture their inner life, continual learning, and be active in the community.
    • Attend the Tuesday morning all staff Community of Freedom Gatherings from 9 AM – 12 PM each week.
    • Join optional 2:00 – 2:20 PM meditation time every day.
    • Create an independently directed professional development and spiritual development plan annually.
    Qualifications: This position requires an associate degree and five years of Executive Assistant experience or equivalent.

    Essential hard skills include mastery of the Microsoft Office suite and internet research, comfort with technology, tech-savviness for automating and streamlining tasks, ability and desire to learn new skills on the job, excellent writing and grammar, detailed project management, and time management with familiarity/comfort working across time zones. Experience with D365 a plus. Experience with marketing and design technology a plus (ie, Google Analytics, Photoshop, project management software, etc.).

    More than anything else, the EA for the VP, Global Outreach will need to possess a high level of initiative—curiosity, high-energy, fast-paced, assertive, proactive, insanely organized, learning and growth-oriented, self-directed, independent problem solver. Must possess maturity, professionalism, confidentiality, empathy, and sound judgment to ensure excellent project management, flawless communication, and optimized productivity.
