Position Summary & Responsibilities:
Position Summary: Provides high level administrative support for the Colonels, by processing incoming and outgoing correspondence, reports and other written materials for required action. Gathers and prepares data, performs some research duties, develops reports, spreadsheets and correspondence. Answers incoming telephone calls, provides requested information and refers calls to appropriate staff members when required. Takes detailed messages, when necessary, if immediate resolution is not available. Facilitates conference calls as requested and informs participants of details. Practices excellent human and customer relation skills and uses discretion with confidential and sensitive information. Keeps the Colonels advised of all administrative matters. Designs, establishes, and maintains detailed internal filing systems, both paper and electronic, to assure ready access to pertinent information without compromising confidentiality.
Prepares correspondence of a sensitive nature, in addition to routine correspondence, reports and forms while ensuring accurate and timely communication. Preparation may include research and compilation of data and composition of original letters and notices. Other items may be developed from notes and/or draft material received from management staff. Prepares written responses to non-technical inquiries addressed to the agency, staff and/or Governor. Advises management of action taken on all correspondence.
Monitors scheduling of appointments and meetings that may involve management's counterparts from other states, representatives from various state agencies, as well as senior staff within the agency. Arranges travel/hotel accommodations, secures meeting locations and equipment, prepares and distributes agendas, reviews presentation information to ensure it is complete and comprehensive, notifies participants of meeting details, coordinating and gathering information for various meetings, and preparing statistical and technical reports. Participates in meetings and takes meeting minutes as required. Coordinates necessary follow-up, including but not limited to composing, distributing, and maintaining minutes. Monitors daily activities and schedules to ensure efficient workflow. Prepares purchase requisitions, travel authorizations, and expenditures in the SMART system.
Completes special projects and performs other duties as assigned. Assists other employees in the work unit in accomplishing assignments as necessary.
Job Responsibilities may include but are not limited to the following: Daily use of personal computer, word process software, Microsoft Outlook/Word/Excel/OneNote/PowerPoint and other software as needed, telephone, copy/fax machine, document imaging software, and general office equipment.

Qualifications:
Education: High School Diploma or GED equivalent.
Licensing & Certification: Valid Driver’s License.
Necessary Special Requirements: Three years of experience in general office, clerical and administrative support work.

Preferred Qualifications: Executive assistant experience; proficient with Windows and Microsoft programs.
Post-Offer, Pre-employment Requirements: Must submit to and pass a background investigation. Ability to bend, lift lightweight materials up to 30 lbs., stoop, sit for long periods of time, move, stretch, twist and reach.
