    About the position:

    In this role, the Resource Allocation Associate will analyze product donation offers from pharmaceutical and other donor companies to determine recommended acceptances, considering specific constraints based on receiving countries and organizations. They will optimize resource allocation across regional partners around the globe, balancing available inventory and partner priorities. Additionally, they will be responsible for producing actionable analysis on various components of Americares’ supply chain and A2M program.


    Key Outcomes:

    In the first 90 days, the Resource Allocation Associate will have knowledge of the relevant processes, systems, and key stakeholder. You will have the ability to evaluate basic offers and have basic familiarity with shipment building.


    In the first 6 months, the Resource Allocation Associate will be proficient at the above.


    In the first year, the Resource Allocation Associate will have the ability to work on offers and shipments unsupervised. You will have ownership of key databases and strong familiarity with the organization, stakeholders, and strategic goals.

    Duties and Responsibilities:

    • Support the Acceptance Process for Medications, Medical Supplies and other GIK Donations.
    • Manage process of offer assessments to ensure timely and optimized product acceptance decisions.
    • Provide offer acceptance recommendations to the Strategic Partnerships team based on product characteristics, donor restrictions, course treatments, country parameters (e.g. expiration dating), shipping history, prior product requests from regional partners; partner priorities lists, medical assessment.
    • Effectively transfer assessment data and offer decision into Offer Analysis Tool to increase efficiency of future offer assessments.
    • Execute product offer processes to our regional partners as needed, compile responses and recommend product acceptances and allocations.
    • Serve as “customer service” focal point for donors as needed for product offers and receipts.

    Support the GIK Allocation Process:
    • Provide analysis and recommendations for optimal allocation of specific products based on product information, international partner profiles, donor requirements/restrictions, and shipping schedules.
    • Work with other GIK team members to build shipments based on allocation methodology and shipment schedule.
    • Leadership of weekly order review meeting and provision of regular feedback to the Global Partnership teams on the progress of shipment building and composition of shipments for their regions; make necessary shipment adjustments based on their input.
    • Generate inventory reports and analysis (slow moving inventory, short dated, historical allocation reports); make recommendations for assignment options and reallocate as needed.

    Information Management:
    • Maintain well-rounded understanding of the varying regional partners in Americares’ network. This information should consider identified partner priorities, historic shipments, and previous product donation requests and should be utilized in the product allocation process.
    • Support Strategic Partnerships and Distribution staff by providing recommendations on inventory management to optimize allocation and shipping options. Recommendations should balance ease of shipment building with level of detail required to support partner receipt and distribution.
    • Create dynamic and intuitive dashboards that translate A2M program data into actionable business intelligence for inter- and intra- departmental stakeholders
    • Enter product information into our offer evaluation and inventory management systems and coordinate with Strategic Partnerships to ensure information is correct and up-to-date

    Other:
    • Responsible for management of GIK intern and GIK liaison for intern project as needed
    • Primary GIK coordinator and liaison for Donor Engagement activities, including kitting events in the Americares Distribution Center
    • Assistance with various administrative tasks such as scheduling meetings, document editing, etc., as required
    • Other duties as required to support the Operations team

    DELIVERABLES:


    • Accurate and timely fact-gathering to support product acceptance and product allocation assessments.
    • Effective information management, including maintenance of products database and coordination across Global Partnerships and Strategic Partnerships to access and enhance other databases.
    • Thorough execution of all tasks required to maintain integrity and effectiveness of GIK Process Management.
    • Some limited travel (domestic and/or international) to create connectivity and first-hand experience with partner GIK donation handling/management and GIK donors, as well as Emergency Response work as needed by Cadre program.

    • You have STEM experience (Biology, Chemistry, Mathematics and/or Statistics in particular)

    • You have strong organization skills; attention to detail
    • You have proficiency with Excel; other database skills preferred (Access)
    • You have proficiency with business intelligence software such as PowerBI or Tableau
