    Major Duties and Responsibilities (Essential Functions):
    • Order books selected by Director of Library and Collections Development Librarian, choosing appropriate international and domestic vendors, and creating order records in the library’s backend software, Alma. Actively solicit gifts when possible.
    • Receive and process books, check books to ensure order is accurate; detect and report discrepancies; contact vendor as needed to resolve problems.
    • Package books for return shipment if needed.
    • Process invoices for books, periodicals, electronic resources, and other library materials using Alma. Prepare and send necessary documentation for payment to the Institute’s accounts payable department.
    • Claim and reorder periodicals and books that were ordered but not received in accordance with each vendor’s policies.
    • Monitor operational and acquisitions budgets using Alma and MIP program. Work directly with accounts payable to resolve problems. Leverage Alma acquisitions and analytics functionality to track overall budgets, grants, and donor restricted funds. Assist with fiscal close at the end of the fiscal year.
    • Process gifts including acquisitions funds and individual volumes. Liaise with the Advancement department as needed to ensure donors are appropriately credited for donations; work closely with Collections Development Librarian to draft acknowledgement correspondence for the Collections Development Librarian, Library Director, or Hardymon Director, as needed. Manage the library’s exchange program by determining the optimal time to mail the exchange publications, order books from publications department, arrange exchange mailing using summer staff when available and supervising their work, maintain a database of exchange partners and publications sent and volumes requested.
    • Coordinate administrative duties for the library and archives department including converting foreign currencies, translating foreign languages, creating reports and serving as liaison with finance. Maintains annual report statistics, recording library meeting minutes, serves as central administrator for library supplies and equipment.
    • Serve as a backup point of contact for visitors and direct them to various points in the library including the mounted maps, the online catalog, public scanners, or to librarians for more complex questions.
    • Reviews, records, and reconciles library’s credit card statements and Amazon corporate account.
    • Other duties as assigned.
    Minimum Starting Salary: $25.50/hr.
    Minimum Qualifications:
    Education, Training, and Skills
    • Bachelor’s degree
    • Exceptional attention to detail
    • Excellent communication, interpersonal, and cultural competency skills
    • Work Experience
    • Minimum of 1 year of relevant experience
    • Preferred
    • Reading knowledge of at least one foreign language
    • Experience with library finance operations
    • Experience using a library service platform, ExLibris’s Alma or Innovative’s Sierra a plus

    • Work will be performed in an office environment and museum spaces. The noise level in the work environment is usually low to moderate.
    • Some overnight travel may be necessary.
