    Position Summary

    As a Executive Assistant, you will play a pivotal role in ensuring the smooth functioning of our executive team and enhancing their productivity. You will be expected to manage their schedules, prioritize meetings, handle customer interactions, book travel, and manage other administrative tasks as needed.

    DUTIES and RESPONSIBILITIES

    Executive Support:

    • Act as the liaison between CEO, Executive Team, internal and external stakeholders, and associates.
    • Manage and maintain the executive team’s calendar, appointments, and travel arrangements.
    • Prepare and edit correspondence, reports, and presentations.
    • Maintains a broad knowledge and understanding of the company's operations, business objectives and enterprise relationships.

    Customer Interactions:

    • Interact with customers, clients, and partners in a professional and courteous manner.
    • Promptly respond to customers (at times during irregular hours.)
    • Address inquiries, resolve issues, and provide exceptional customer service.
    • Maintain a customer database and ensure accurate record-keeping.

    Organizational Support:

    • Assist with the planning and execution of meetings, conferences, and special events.
    • Handle confidential information with the utmost discretion and professionalism.
    • Maintaining comprehensive and accurate records

    Communication:

    • Manage and prioritize incoming emails, calls, and other communications.
    • Ensure that important messages are relayed promptly to the appropriate parties.
    • Draft and proofread documents and communications on behalf of the executives.

    Ad Hoc Tasks:

    • Be flexible and willing to work irregular hours as needed to meet business demands.
    • Work with the Executive team on specific assignments and to implement greater efficiency and management of the CEO.

    EXPERIENCE and QUALIFICATIONS

    • Bachelor's degree in business administration or a related field (preferred).
    • Proven experience as an executive assistant or in a similar role.
    • Exceptional organizational skills and ability to multitask.
    • Strong interpersonal and communication skills.
    • Ability to maintain composure under pressure and adapt to changing priorities.
    • Proficiency in office software (e.g., Microsoft Office Suite and Google Workspace).
    • Verbal and written communication skills
    • Proactivity and self-direction
    • A team player and has had experience supporting multiple leaders.
    • Thrives in a fast-paced and sometimes high-pressure environment.
    • Discretion and trustworthiness when handling sensitive information.
    • Willingness to work irregular hours, including evenings and weekends, as required.
