About the Position
We are looking for a dynamic executive assistant to provide support to Habitec’s Chief Executive Officer (CEO). The position is a full-time opportunity. The Executive Assistant provides support to the CEO by conducting research, monitoring and drafting correspondences, preparing reports, reconciling expenses, supporting marketing and business development efforts, assisting with project management, addressing information requests, and acting as an office liaison.
Duties and Responsibilities
· Provide day-to-day support to the CEO including professional and routine tasks as needed.
· Manage CEO’s calendar.
· Schedule meetings and appointments.
· Coordinate travel and accommodation.
· Monitor, manage, and draft email correspondences, take phone calls and interface with clients.
· Assist with marketing and business development efforts, including event planning.
· Respond to multiple concurrent pursuits by helping coordinate and produce high-quality proposals and presentations, including layout, formatting, proofreading, graphics, editing/reviewing and production.
· Perform other related duties or special projects as assigned or requested by project managers.
· Assist with creating and implementing plans and procedures.
· Track, record, and reconcile expenses and reimbursements.
· Research and prepare information and data for reports, documents, and presentations.
· Provide administrative support to Human Resources and other Senior Directors/Managers. This position also offers support to other team managers when needed and occasionally covers for the Front Desk Administrative Assistant.
· Assist with new hire orientation and setup.
· Event planning for employee events, celebrations, and teambuilding activities.
· Perform clerical duties such as taking notes, maintaining files, organizing documents, etc.
· Perform other related tasks as needed.
