    Reports To: Treasurer

    FLSA: Non-exempt

    Salary Range: 5; $3946-$4500/mo. - DOQ

    OVERVIEW

    Position is responsible for receptionist and minor office assistant duties to include but not limited to customer service, answering multi-phone system, and processing tax payments. Position requires employee to perform in a highly reliable, punctual, and dependable manner.

    ESSENTIAL JOB FUNCTIONS

    · Responsible for customer service, including but not limited to; phone reception, cash
    handling, tax searches, current and delinquent tax receipting, and processing NSF checks.

    · First point of contact for walk-in customers.

    · Reconcile, process, and post tax payments.

    · Calculate and process excise tax affidavits.

    · Process mobile home excise tax affidavits and movement permits.

    · Collect delinquent Mobile Home property taxes.

    · Input address changes and create duplicate tax statements.

    · Pick up, route, and deliver mail and make bank deposits.

    · File paid tax statements.

    · Investigate and process returned mail.

    • Audit and reconcile monthly excise tax affidavits. Prepare state report of excise tax activity and balance the tax to be remitted. Act as the office facilitator of excise tax affidavits, processing real estate transactions, as well as data entry for Department of Revenue (DOR).

    · Reconcile monthly bank statements and create a report of account activity in transit.

    · Purchase supplies as needed for the office and maintain office supply closet.

    · Bill and collect Rivercom payments.

    · T-2 software document and receipt scanning.

    · Update transactions within QuickBooks.

    · Update, create, and maintain Excel spreadsheets.

    · Work with other departments to ensure proper cash handling procedures are in place as
    needed.

    · Cross-train in any other positions as needed and perform other duties as directed or
    required.

    · Act as backup for team members during absences.

    · Organize and maintain the storage room rotating documents as required.

    · General County government operations.

    • General office procedures and practices, filing, standard formats for business correspondence, spelling, punctuation, and rules of grammar.

    · Gather, analyze, and interpret data into usable formats.

    · Writing and producing clear, comprehensive, and concise reports.

    · Effective communication both verbal and written.

    · Advanced skills with computers and software with an emphasis in the MS Office Suite.

    • Effectively deal with people who may be emotionally charged by issues and information being presented and provide problem-solving techniques.

    · Maintain composure under stressful situations and provide problem-solving techniques.

    · Follow verbal and written instructions and keep accurate records.

    • Establish and maintain effective working relationships and good public relations with other employees, agencies, property owners, and the general public.

    · Meet deadlines while maintaining flexibility necessary to accommodate any given
    situation.

    · Listen and record accurate notes and messages.

    · Extensive public relations and phone etiquette.

    · Writing and producing clear, comprehensive, and concise reports.

    · Handle multiple projects simultaneously and effectively.

    · Maintain confidential status.

    SUPERVISORY RESPONSIBILITY

    · This position has no supervisory responsibilities.

    PHYSICAL REQUIREMENTS / WORKING CONDITIONS

    • Work is performed in an office with extended periods of sitting, standing, bending, kneeling, walking, and lifting (up to 40 pounds waist high).

    · Driving, climbing stairs, and walking outdoors on uneven terrain in a variety of weather conditions.

    · May work an alternative schedule at the sole discretion of the County.

    · Potential for working evenings, occasional weekends, holidays, overtime, and out of town travel.

    · Work is performed independently, primarily in an office environment.

    · The environment may be stressful in striving to meet deadlines and staffing needs.

    LICENSES, CERTIFICATES AND OTHER RECRUITING REQUIREMENTS

    · Accounts receivable, cash handling, and customer service experience is needed.

    · Demonstrate experience in use of computers, multi-line phone system and other office equipment.

    · Possess excellent public relations skills, organizational skills, and present a professional image.

    · Bilingual English / Spanish preferred.

    · A background security check may be required if a job offer is made.
