The DD Endowment Trust Fund managed by the Arc of Washington State, a long-standing disability rights advocate nonprofit organization based out of Olympia, WA, seeks an Administrative Assistant to join its small yet dynamic collaborative team. The ideal candidate will be experienced in customer service, banking, and/or benefits planning, and have a commitment to diversity, equity, and inclusion, with an interest in supporting people with intellectual and developmental disabilities to live, learn, and work in the community.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
- Provide administrative support to all areas of the trust program with a focus on efficiency and quality control.
- Facilitate, verify, and record the daily deposit of contributions into the trust fund through the secure remote banking site.
- Adhere to all program policies and procedures in a timely manner to fulfill the financial and accounting requirements of the program and assure all documents, filings, accountings are accurately entered into database and all physical documentation are correctly identified, filed, and archived.
- Maintain awareness of new and pending disability laws and benefit regulations which directly affect the administration of the trust.
- Respond quickly to inquiries and requests received by phone, email, and written correspondence from beneficiaries and their representatives and notify program participants of account transaction issues.
- Serve as the general point of contact for the DDETF, program participants, the public and other agency stakeholders.
- Maintain courteous, thoughtful, and empathetic professional relationships with beneficiaries, their families, and/or their professional representatives through clear and effective communication.
- Attend regularly occurring department and organizational meetings and participate in trust activities.
- Present promotional information and represent the program at disability conferences, seminars, and community outreach events.
- Contribute to the success of the program with a willingness to share in job tasks and responsibilities. Participate in program initiatives and other projects as assigned.
DESIRED BACKGROUND:
- Experience or knowledge in the field of benefits planning and financial management for those with developmental or intellectual disabilities.
- Experience working in an office environment such as a bank, trust or law office specializing in trust administration, estate planning or other related fields of work that intersect with financial, accounting and banking procedures.
- Familiarity with the procedures, requirements, laws and regulations pertaining to eligibility for state and federal disability benefit programs.
REQUIREMENTS and QUALIFICATIONS:
- Proficiency with Microsoft Office programs and ability to learn proprietary software.
- An understanding of banking and trust policies, procedures and applicable regulatory compliance and guidelines.
- Ability to understand and convey complex trust principles and enforcement of trust policies.
- Ability to work independently, and as a team member, with strong organizational skills and attention to detail.
- Ability to maintain and manage personal composure when confronted with a difficult situation and/or trust holder and able to provide participants with information, and solutions with tact and respect.
- Ability to use math skills to balance accounts and locate routine and non-routine mathematical errors and familiarity with general ledger structure, reports and entries.
- Ability to organize, schedule activities, set priorities and coordinate work assignments in a time sensitive environment with recurring deadlines and frequent interruptions.
- Ability to gather, collate, and/or classify information provided by account holders.
- Ability to follow established procedures, asking questions as appropriate.
- Effective communication skills, both verbal and written.
- Ability to establish/maintain effective communications with diverse individuals of varying abilities.
