Part-Time Position {12-20 hours per week}
As a Mail Clerk and Document Scanning Support Clerk at Midwest Trust Company, you will play a crucial role in ensuring the smooth and efficient operation of administrative support services. Your responsibilities will revolve around managing incoming and outgoing mail, as well as digitizing and organizing important documents for the trust company.
Essential Duties/Responsibilities to be performed with or without accommodation
Mail Handling:
· Sort and distribute incoming mail promptly and accurately to the appropriate departments or individuals.
· Process outgoing mail, including postage, packing, and scheduling pickups or deliveries.
· Maintain records of incoming and outgoing mail for reference and tracking purposes.
Document Scanning and Digitization:
· Operate scanning equipment to convert physical documents into digital formats.
· Ensure the accuracy and quality of scanned document, resolving any issues as they arise.
· Organize and categorize digital files according to established protocols and filing systems.
Administrative Support:
· Assist with various administrative tasks as needed, including filing, data entry, and office organization.
· Collaborate with team members to support overall efficiency and productivity within the administrative department.
· Handle confidential information with discretion and maintain strict confidential protocols.
Communication and Coordination:
· Communicate effectively with internal staff regarding mail-related matters and document scanning requests.
· Coordinate with external vendors or service providers for mail-related services and equipment maintenance.
· Respond promptly to inquiries or requests related to mail services and document scanning.

Requirements
High School diploma or equivalent; additional education or training in office administration is a plus.
· Proven experience in a similar role, preferably within a financial or trust company environment.
· Proficiency in operating office equipment, including scanners, printers, and postage machines.
· Strong attention to detail and organizational skills, with the ability to prioritize tasks effectively.
· Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment.
· Familiarity with document management systems and software applications is desirable.
· Ability to maintain confidentiality and handle sensitive information with integrity and professionalism
Work Environment and Physical Demands required to perform essential functions
· Moderate noise (business office with computers, phone, printers, light traffic)
· Ability to sit at a computer for an extended period of time
· Regularly required to sit, stand, talk, hear, and use hands and fingers to operate a computer keyboard and telephone
