    Job Purpose:
    The Assistant Registrar, Academic Programs and Credit Awards serves as a member of the Records Management and Graduation Team. Specifically, the Assistant Registrar manages the overall transfer credit evaluation processes for undergraduate and graduate students, supervises staff, analyzes advanced standing credit and determines program-specific application of that credit using College Source, Banner, DegreeWorks and other technological tools. Furthermore, the Asst. Registrar discerns and processes legally-sensitive ceased-enrollment decisions and regulates academic record changes to ensure compliance with academic policies, HEOA requirements, accreditation guidelines and professional standards. The Asst. Registrar serves as a resource to students and advisors, analyzes records-related business processes, and tests and implements technical upgrades and enhancements in the Banner and DegreeWorks systems.

    Essential Duties:
    • Supervise the Asst. Transfer Credit and Records Analyst

    • Manage and conduct the review of official transcript evaluations for the purposes of credit transfer and appropriate course placement; independently suggest course equivalencies to Chairpersons; evaluate student eligibility for credit awards

    • Analyze course syllabi, course descriptions, college catalogs and other academic documents to evaluate non-U of S transcripts to determine equivalencies with U of S courses and programs; assign and enter appropriate attributes that facilitates degree auditing

    • Independently make judgments about how courses transfer and determine when courses need review by academic departments to determine transferability; assign course reviews to the appropriate departments; execute final transfer credit analyses of confirmed undergraduate and graduate students after determining applicability to student-specific programs of study; advise students about program implications; provide formal analysis outcome documents to the Admissions Office for inclusion in the admission process

    • Evaluate credit for prior learning such as CLEP and IB and apply credits; evaluate WES and other international transcripts from applicants and apply credits; apply credits for students participating in Study Abroad programs; communicate with other colleges, universities, and testing and training agencies for the purpose of research of the nature, level, and content of prior coursework; collaborate with program directors and department chairs to determine course equivalency and applicability towards programs of study

    • Evaluate AP, Nursing/KSOM validation and Scranton Prep and execute final transfer credit analyses; apply credits to each students academic history in Banner for access by advising centers and Financial Aid Office; oversee application of such to specific curriculum requirement areas in each students CAPP

    • Track, assess and improve the flow of decisions and documents to ensure turn-around essential to admission and advising functions; support the mission of the University by providing timely response for credit evaluations to maximize enrollment yield of admitted transfer students and retention of current students; monitor participant compliance wit University policy as it relates to the timing of credit award decisions; escalate matters that fall off the standard processing timeline

    • Communicate with internal and external customers regarding admission policies, transfer policies, procedure and decisions; respond to phone and e-mail inquiries related to these issues; attend open houses to answer prospective student questions; meet with students to consult about credit transferability; defends the admission decision, credit evaluation, and explains necessary corrective requirements to customers

    • Generate reports, queries and other related information from the student information system and DegreeWorks as it pertains to Transfer Credit for the Registrar, Admissions, Deans, advising centers, department chairs, program directors and other administrators using MS Office applications, Banner and Argos

    • Regulate consistent, accurate application of University academic and transfer credit policies, accreditation requirements and professional standards; ensure accuracy and conformity with University requirements to maintain institutional academic integrity; provide guidance to deans, chairs, program directors, IR and admissions entry points to maximize equitable policy application across colleges; research and resolve credit evaluation issues; interpret and articulate complex academic policy to students, staff, faculty, and the public; provide ongoing training and support regarding transfer credit and credit for prior learning to Admissions, academic advisors, faculty department chairs, program directors and staff

    • Manage the course evaluation component in the development of articulation agreements with other institutions;

    • Prepare records and upload the order for the electronic fulfillment of diploma ordering for all colleges and mailing using our university vendor for new graduates and alumni

    • Create, maintain and manage an up-to-date, full list of academic programs with degree codes, program codes, CIP codes, department codes for the DegreeWorks application and ensure Academic Advising Centers have the necessary information to prepare and maintain the SEP plans in DegreeWorks

    • Manage the University Banner transfer equivalency database, DegreeWorks and the contract with College Source; develop, test, and revise transfer articulation procedures when system software upgrades and module-specific enhancements affect user interface or functionality

    • Discern and process legally-sensitive, student-specific decisions in Banner made by academic deans and Student Formation regarding complete withdrawals, leaves of absence, academic dismissals, academic probation, disciplinary suspensions and expulsions; enter separation dates in the National Student Clearinghouse database; function as the central point of notification to deans, Financial Aid, Library, Bursar, and other relevant entities for operational and compliance purposes including Title IV aid refunds and account adjustments

    • Contribute and provide staff support for business process documentation and production calendars, including the maintenance of a degree compliance calendar for reports and deadlines

    • Assure the release of student information within the regulations of the Family Educational Rights and Privacy Act of 1974, as amended and within university policy and guidelines

    • Experience with both an SIS (preferably Banner, PeopleSoft and others are acceptable) and a degree audit system (Degree Works, DARS, etc.)

    Minimum Education Requirements:
    • Minimum of bachelors degree or 5 years work experience with evidence of increased responsibility in a registrars or similar office in a comparable setting is required
