Job Description:
As a Site Administrator on the Alaska Power and Engineering team, you will be vital to the construction of a utility-scale wind energy facility. Your focus will be on managing and maintaining document control while also offering general site administration support. Your on-site presence will be necessary, with regular turnarounds provided. You will report to the team’s Site Manager and provide assistance to the owner’s project management team as needed.
Job Duties:
· Collaborate with the team to plan and monitor project quality control activities and documentation.
· Ensure that all quality control documents are organized and uploaded electronically using commonly utilized construction management software (e.g., Procore, Viewpoint, Bluebeam, etc.) and that contractors and equipment suppliers adhere to document management requirements.
· Provide training on construction management software to the site team and EPC contractors as necessary.
· Assist contractors in understanding job book requirements to ensure timely completion.
· Assist with project punch list, RFI, Submittal, and Transmittal tracking and closeout.
· Ensure completion of job books onsite and provide updates to the owner’s project management team on the status of the onsite job book preparation as required.
· Facilitate preparation for onsite meetings and site visits.
· Prepare clear and concise reports, presentations, memorandums, proposals, and correspondence as needed.
· Assist the Logistics Manager with tracking component deliveries and verifying any demurrage claims by the turbine supplier.
· Maintain owner’s trailer office supplies by monitoring inventory levels, anticipating future needs, placing orders when necessary, and verifying receipts to ensure that orders have been fulfilled.
· Serve as the initial point of contact for landowners and other stakeholders and direct their questions to the proper site personnel.
· Assist team members with non-conformance tracking and quality issue closure and documentation.
· Communicate effectively and professionally.
· Represent the organization with composure and professional candor.
Qualifications:
· Proficient in creating and maintaining documents using Microsoft Excel, Word, PowerPoint, etc.
· Knowledge and experience in quality control processes, procedures, and documentation are required.
· Experience using construction management software is necessary.
· Previous experience as an administrative assistant or project coordinator.
· Familiarity with large-scale construction and construction sites is preferred.
· Strong communication, organizational, and interpersonal skills and problem-solving techniques are essential.
· Detail-oriented and efficient in executing tasks.
