Overview
We are seeking a skilled Administrator to join our team. Though willing to train, the ideal candidate will have a strong customer service background and be proficient in a variety of admin skills.

Reports To: Idealease General Manager
Primary Responsibilities:
1. Assist in the processing and distribution of Account Payables.
2. Answer incoming phone calls and visitors to the Idealease location.
3. Assist Idealease Rental Manager in the following areas: check in/check-out of equipment, vehicle files, customer files, daily yard checks, current status of all rental vehicles, communicating with Service Department, and knowledgeable of current customer’s rental rates.
4. Collection of actual miles for billing monthly contract vehicles.
5. Maintain Contract Files in accordance to the policy as outlined in Section 2 Exhibit 1 in the Idealease Way.
Accounting:
1. Follow the policies and procedures for Accounts Payable, ensuring all payables are coded properly.
2. Assist in all the billing.
3. Communicate with the Service Department for Accounts Payable, Inventories and Purchase Orders.
4. Maintain and monitor all customer insurance certificates for correct language and current dates of coverage.
5. Provide assistance for the Idealease Business Manager in areas such as Accounts Receivable, miscellaneous billing, and fuel reconciliation.
Administration:
1. Manage the Trip Record process to include a current list of all FSL customers and units that require DTR’s.
2. After approval from the Idealease General Manager, update the contractual customers’ lease and rental extra billing system for all CPI’s implemented each January.
3. Maintain a system for recording all licensing and permitting data (weights, States, Due Dates, Pegs, etc).
4. Assist the Idealease Business Manager in the New Unit In-Service and Out-of-Service process as outlined in Section 2, Number 26 & 27 in the Idealease Way.
